Hire Controller £30,000 - £35,000 Rochester, Kent Full Time, Permanent role - 40 Hours weekly Are you an experienced Hire Controller interested in joining a market leader within the HVAC Hire Market? Attega Group is currently partnering with our client in recruiting a Hire Controller - Rochester to join the team. The main purpose of this role is to support the Contracts Manager in all aspects of the customer contract from quotation to off-hire. In return, our client is offering a salary of £35,000, depending on experience, plus 25 Days holiday, Life assurance, and private healthcare, following the successful probationary period. This role is full time and permanent. The hours of work will be 08:30 to 17:30. Responsibilities: Coordinating the elements of the contract pack on the shared drive to ensure compliance with company standards, handing over complete “clean” files in a timely manner to the Customer Services Team for both the Gains and Off Hire Process. Raising quotes in the system for all hire and sales/enabling works. Assisting with the team labour planning for jobs and escalating to Andover if additional support is required through the system planner. Raising a PO for transport in the system for the kit if not in-house vehicles are being used. Requesting fuel from the fuel desk. Attaching service data of the stock into the system with job cards and photos. Ensuring all stock leaving the yard is photographed once loaded, ensuring compliance with the pick list/branding. Confirming asset numbers on the contract through the system/bar codes and making the contract live. Ensuring PO matches the quote. Confirming month-end invoices are correct. Ensuring all stock coming into the yard is photographed and checked to confirm if returned from hire/site and putting the contract into OH not confirmed. Confirming that the paperwork has been completed at the end of each job in the system. Raising a workshop job in the system for all breakdowns and providing feedback in the system when completed needs parts. Liaising with Supply chain for spares for breakdowns and warranty information. Communicating with colleagues at all levels and working as part of a team. Being one of the points of contact with the technical and sales team to chase RAMs and question details vs the contract for accuracy ensuring clear, timely, and positive cross-department communication. Ensuring accuracy of the PO, quote, and RAMS process and escalating any non-conformity. Maintaining contract management of files to ensure 100% accuracy; assets/dates/customer details. Responsible for the action and communication to the relevant teams regarding off hires. Ability to work effectively in Insphire with checking on contracts and stock. Custodian of QHSE documentation in the depot for compliance. Assisting in other day-to-day duties according to the needs of the Department. Other responsibilities will be allocated from time to time by line managers and will be at the company's discretion. The ideal candidate: Confident & professional phone manner. Happy to work alone in conjunction with a remote team. Computer literate (Office 365, Insphire to be taught). Strong written and verbal communication skills. Good numeracy skills as part of the role will be budget and sales driven. Great attention to detail and the ability to raise potential errors with colleagues effectively. Well organized with the ability to support and plan with others. Ability to problem solve when dealing with customer issues. Willingness to learn about the HVAC industry. Willingness to get involved in a variety of tasks. Proactive team player. Experience working in a fast-paced coordinator/administrator role.
