The Role

This is a full time, permanent Personal Assistant position providing full administrative and PA support. The successful candidate will enable the reports they support to operate in a truly efficient and effective manner by keeping the day-to-day tasks running smoothly with minimal supervision. This person will be a highly organised, self-sufficient and experienced PA who is looking for a new challenge in an innovative firm.

Responsibilities will include:

Integrated team support, supporting 3 key stakeholders and working with the wider Admin team where required.

Plan, prepare, pre-empt & be productive in carrying out efficient & effective diary, travel & event management both domestic and international.

Organising internal team specific events, training, including but not limited to, preparing agendas, liaising with the portfolio companies, arranging showcases/ presentations, across time-zones.

Ensuring that time is effectively managed, and tasks are completed in a timely manner by understanding priorities in a fast paced environment.

Proactively seeks out and takes on additional tasks and effectively implements new ways of working.

Acting as first point of contact for the Reports and team, by prioritising incoming correspondence, directing calls, taking messages and prioritising the information flow.

Expense management.

Gathering and organising data and updating relevant information.

Support other members of the EA team as directed by Head of Group Admin.

Take ownership of all administrative tasks and ad hoc duties as required.

To undertake any other reasonable responsibilities as directed by the Reports or Line Manager Head of Group Admin.

Skills and experience:

Demonstrable experience of supporting multiple reports in a similar role in a corporate environment with strong PA experience.

Proven multiple diary and priorities experience.

Strong proficiency in software packages such as Outlook, Word, Excel, SharePoint – Office365.

Demonstrable experience of being a proactive team player.

Excellent written & oral communication skills.

Confident working respectfully throughout all levels across the group.

Understands and appreciates the importance of using discretion and respecting confidentiality.
