Overview
To work, under the supervision of the Events Marketing Manager with a dotted line into the Head of Events, to deliver high quality events and conferences for Chambers & Partners globally. This role will be for 2 days per week for 8 weeks and work on a defined number of Forum conferences across jurisdictions, as part of a transformation plan.
Main Duties and Responsibilities
To research and analyse the feasibility of developing potential conference topics into commercially viable events.
To communicate by phone and email with key industry figures to determine the validity of proposed topic, sub-themes, timing and location.
To create a comprehensive topic briefing document for all events which among other things will outline:
An overview of the topic and its validity as a standalone event.
An account of the likelihood that the event will encourage the participation of paying delegates.
To work with the Chambers & Partners research function to highlight the current issues faced by the industry.
To identify potential speakers and resource persons.
To identify key issues which will be addressed by the event.
To research all possible events covering the proposed topic to analyse potential conflicts in dates or overexposure.
Have 2 Chambers IP focused Keynotes ready per Forum Conference by at least 18 weeks out from the event dates.
Refer potential sponsors of the event to the Sales team for conversion.
To plan for a post-conference internal report.
To plan for a post-event report on the conference that is circulated to attendees.
To write the conference programme, invite speakers, liaise with speakers to ensure attendance, organise or assist in the organising of the event, as the case may be and to attend to all matters relating to and/or ancillary to the successful conducting of the event.
Liaising with speakers throughout the conference production cycle.
Assist in any speaker logistics planning, pre-event logistics management, as well as onsite and post-event logistics.
Where necessary assist in budgeting, financial and cash management for the events and working with the operations team on invoicing.
Carrying out post-event analysis for Chambers & Partners assessment and reports.
Undertaking such other duties as directed by the Head of Events.
Skills and Experience
Ideally a minimum of 5 years in organising international events and conferences.
Relevant experience of undertaking marketing and corporate communications work. Excellent written and oral communications skills.
Experience in working within a multicultural and international environment.
Ability to use an international network of contacts for commercial purposes. Relevant communications and Web experience.
Demonstrable expertise in budgeting and managing projects to tight deadlines. Strong work ethic and attention to quality and detail.
