This Assistant Operations Manager vacancy is an exciting position for the right person to be part of a dynamic and growing team. The overall purpose of this role is to lead by example a team of onsite staff within a geographical area. You will assist with ensuring budgetary targets are consistently achieved whilst at all times demonstrating excellent value for money, maintaining our buildings' compliance levels, and ensuring our staff are high achievers. Due to our continued and successful growth, we are expanding our team to manage our portfolio of prime residential sites and set the standards of quality across all developments. To achieve these aims, we are now looking for an experienced Head Concierge/Duty Manager/Building Manager to join our team as an Assistant Operations Manager. EPMG Facilities is an award-winning company employing over 200 staff with a presence in over 250 sites within 5 regions, specializing in the management and provision of soft facilities services across a portfolio of highly prestigious residential and commercial estates. EPMG Facilities provides operational and line management support for the site-based teams providing high-end residential services and compliance. What you'll do Be responsible for assisting in implementing policies and procedures across the portfolio to ensure a consistent and 5* approach. Assist and/or manage the compilation and implementation of efficient rotas including the scope of services for your site or mobile teams. Financial Management: Work with the operations lead to ensure budgets are monitored for financial performance to achieve and improve annual targets. Assist the operations lead in ensuring the management of contractors is undertaken efficiently and in line with the company standards and policy. Assist the operations lead to prepare monthly reports that are succinct and demonstrate that the services and staff performance are under control and budget targets are being achieved. Assist the operations lead in ensuring compliance is maintained on each development for your area of responsibility as laid out within the site’s roles and responsibilities matrix. This will include sites with and without an onsite staffing presence. Oversee/manage the time and attendance within your area to ensure we provide cost-effective cover across all the developments, enhancing service levels for our customers. Identify any early signs of performance-related issues and proactively manage them during early stages, without allowing them to develop into future problems. Carry out appraisals that are set with your direct reports' full engagement and regular 1-1’s. Ascertain and implement training requirements and continuous development based on the competency assessment of all staff. Manage client relationships, Estate Management relationships, and deal with any issues or complaints. Build strong relationships with stakeholders. Identify new services, systems, practices, equipment, and training that can improve efficiency involving client and staff satisfaction. Stay up to date with current legislation and best practices, ensuring any relevant information is passed on and understood by the staff. Oversee the quality of the services provided, identify lessons learned, and propose and implement solutions to prevent problem reoccurrence. Perform any other duties that fall within the operations team remit. What you'll bring Qualifications IOSH Managing Safely and/or other related Health & Safety qualification - Required. ILM L3 to be attained in the first year. Continuous CPD (for example MIWFM level) or prepared to work toward this - Desirable. Experience Minimum 1 year's experience in planned service management within Facilities/Operational management is desirable but not essential. Experience leading a team is desirable but not essential. Experience with managing H&S aspects within the business. Experience of monitoring policies and procedures with a great impact on productivity, efficiency, client, and staff satisfaction. Excel proficient to a medium user level. Experience with the use and implementation of facilities management software (Qube/CAFM/PaaMs/Quooda/Dwellant etc.) is desirable but not essential.
