The Event Registration Manager will be responsible for managing the registration element of the event. This includes managing suppliers, creating workflow documents, event registration staffing plans, and ensuring that the event registration supplier’s onsite requirements are fulfilled. Collaboration with internal teams, external partners, and suppliers will be essential to the success of this role.

Key Responsibilities

Registration Management:

Follow the registration briefing guidelines specified for the event, aligning with overall series goals and attendee experience.

Create an onsite registration proposal, including registration layout and a walkthrough document outlining attendee arrival & traffic management plan.

Work with the Branding Executive on the Registration signage plan.

Develop a resourcing plan for event staff defining a clear roles & responsibilities matrix.

Create a schedule for Scanners for all content sessions.

Provide regular progress updates on the registration plan.

Supplier Liaison & Management:

Onboard suppliers for IT networking and event staffing.

Coordinate with registration system supplier and manage timelines for event setup, ensuring quality and timely delivery.

Source and coordinate the registration infrastructure (registration backdrop, desks & signage).

Create a schedule for event staff (registration check-in hosts, ushers, and scanners).

Source staff uniforms and manage distribution.

Create an event staff briefing and training pack.

Onsite Management:

Act as the main point of contact for all registration related suppliers during event build-up.

On live days, work with the registration company to ensure an efficient check-in experience for attendees.

Resolve any on-site issues or challenges swiftly and effectively, ensuring minimal disruption to the event.

Ensure cost-effective execution by managing suppliers efficiently and mitigating unexpected costs. Identify and drive cost-saving initiatives without compromising the attendee experience or event quality.

Share post-event feedback on registration and suppliers.

Budget & Financial Management:

Ensure cost-effective execution by managing suppliers efficiently and mitigating unexpected costs. Identify and drive cost-saving initiatives without compromising the attendee experience or event quality.

Post-Event Analysis & Reporting:

Requirements:

Experience:

5+ years of experience in event registration management or a related role.

Knowledge of CRM and various event registration platforms strongly preferred.

Exceptional written and verbal communication skills.

Excellent organisational skills and high attention to detail.

Strong project management skills with the ability to handle multiple tasks and meet deadlines.

Skills:

Outstanding interpersonal and communication skills, with the ability to collaborate effectively with diverse teams and stakeholders.

Strong problem-solving abilities and attention to detail with the ability to remain calm under pressure.

Additional Requirements:

Flexibility to work long hours, including weekends and holidays, depending on the schedule and during peak event periods.

Ability to work in a fast-paced environment with multiple deadlines.

Ability to manage high-pressure environments and ensure the smooth running of events in diverse and sometimes unpredictable circumstances.

Ability to work independently and with teams across different countries and time zones.
