Job summary The volume of information coming into the Practice is high and this is a busy role. Correspondence coming into the Practice is processed and coded by the Coding and Scanning Administrator. This role enhances patient safety through enabling doctors to focus on delivering patient care rather than on administrative tasks that can be safely done elsewhere. The role requires a high degree of concentration and diligence to ensure that correspondence requiring clinical input or action is directed quickly and efficiently to the relevant medical staff. Equally, it functions to ensure the maintenance and accuracy of information held within the patient medical record is correctly coded and easily accessible to clinicians. Main duties of the job The Coding and Scanning Administrator is responsible for: Working as a member of the Clinical Coding Team, sharing the coding workload via SystmOne Workflow to ensure a highly professional and technically proficient clinical coding service is maintained. Reading all incoming correspondence to the practice, accurately coding the relevant diagnosis/procedure/information in the patients' records, deciding whether to send on to a GP, ensuring follow-up actions/tests are brought to the attention of the relevant staff members (GP, pharmacists, admin). Scanning patient-related documents onto their medical record using filing codes as agreed by the clinical team. Adding any additional information about the source of the document. Ensuring incoming letters are scanned onto the patient record within a stipulated timescale. Ensuring the Scanning Protocol and Procedure is followed. Directing relevant reports, prescriptions, and documents to the appropriate doctors. Processing Out of Hours and NHS 111 information. Managing admin emails and forwarding as appropriate. Summarising and coding relevant information from patients' clinical records into the practice computer system, working strictly in accordance with the Note Summarising Protocol. Recording A&E attendances. About us Boultham Park Medical Practice is an urban GP Practice located just to the south of the centre of the city of Lincoln. Our clinical team comprises 3 GP Partners, 1 Clinical Pharmacist Partner, 3 salaried GPs, 2 Advanced Nurse Practitioners, and a team of Practice Nurses and Healthcare Support Staff. The clinical team is supported by the all-important admin and reception support teams who are essential in making the practice work efficiently. Person Specification Qualifications Essential GCSE English Grade C / Level 5 GCSE Maths Grade C / Level 5 IT Literate Desirable Comfortable with the MS Office Suite Previous experience in Primary Care Previous use of SystmOne Experience Desirable Previous experience of work in a GP Practice would be beneficial but not essential.
