As a member of the central support services team, the central coordinator will provide a professional, efficient, and proactive administrative service for HRW's global business needs. You will take responsibility for ensuring that the business administrative aspects of HRW's operational workflows and processes are efficient and executed in a timely manner. Supporting our costings & revenue workstream alongside our research project teams, this role is very varied and considered a vital cog in the seamless system. Your key responsibilities will include but not be limited to: Booking Adhoc freelancers, negotiating rates, and setting up statements of work. Ensuring invoices, purchase orders, and relevant training are in place and processed as per freelancer setups. Booking conferences and assisting marketing teams where applicable. Managing annual subscriptions, monitoring central info inboxes, and maintaining company repositories. Providing admin support to project teams including setup of key meetings, creating project folders, and supporting with client meetings. Supporting with resource booking requests and management throughout projects. Reconciliations, tracking, monitoring, and recording project finances. Supporting pre-project costings at pre-bid stage. It is vital that you can respond to a variety of requests quickly and efficiently with strong planning and organizational skills to prioritize tasks effectively. Requirements We are looking for an exceptional individual who is passionate about delivering excellence and will strive to continuously improve their skill set. You will be fully supported as your experience grows, and progression through professional qualifications can be offered through a Business and Administration apprenticeship programme. On joining, you will have a structured induction programme and training plan which you will review with your line manager on a regular basis. Your six months to success onboarding programme will be bespoke to your needs with progression available at your pace. This role is hybrid, and the successful candidate will be required to be in the office for a minimum of two days per week. Working hours are typically 09:00-17:30 Mon to Fri, whilst there is flexibility and part-time hours may be considered. The central team supports our global business, so we will need to ensure cover for our US teams remains available across the UK working day.
