Provide comprehensive and high quality secretarial/administrative support service. Ensure the delivery of the quality strategy within the designated area. Organise the diaries and commitments of managers, including scheduling meetings and making catering and travel arrangements. Attend weekly meetings, take notes, prepare agendas and other papers as required. Sort and prioritise mail for the team, dealing with all correspondence confidentially. Respond to all telephone, e-mail and general enquiries ensuring appropriate messages are emailed or action is taken. Liaise with colleagues at all levels both within the team and across other agencies. Ensure provision of secretarial/administrative support to the Service and propose any necessary changes to local protocols. Maintain appropriate supplies for the team, responsible for ordering supplies/equipment. Undertake delegated tasks and prepare reports including PowerPoint presentations. Supervise others, planning their workload and addressing any issues. Collate incoming invoices, keep a record of invoices paid and process any invoice queries. Ensure timesheets are recorded appropriately and in a timely manner. Provide cover for and undertake duties of absent colleagues as necessary. Qualifications
Educated to GCSE standard or equivalent work-based experience. RSA 1/2/3 type writing or equivalent work-based experience. NVQ Level 2 Business Administration. Knowledge/Experience
Computer literate. Ability to develop and maintain databases. Proficient in Microsoft Office (Word, Excel). Experience in minute taking. Familiarity with online ordering systems. Skills
Proficient in computerised information systems. Keyboard/Word Processing/Data Input skills. Good organisational and interpersonal skills. Demonstrable knowledge of supervising other secretarial/administrative staff. Values
