Medical Secretary/Patient Pathway Coordinator - Rheumatology East Kent Hospitals University NHS Foundation Trust Effective management of the patient pathway, including monitoring of diagnostics and booking follow-up appointments, adhering to government standards. Escalate issues where necessary. Scan investigation results, escalate any issues, and highlight concerns that require urgent intervention. Monitor consultant's absence ensuring clinics are managed accordingly, following the Clinic Maintenance Policy. Participate in ensuring that Health & Safety guidelines are adhered to. Participate in Trust's quality improvement initiatives. Manage and monitor patients through their treatment pathway ensuring compliance to RTT, cancer pathways, and local waiting time standards.

Main duties of the job

Act as first point of contact on behalf of the consultant and the Trust and deal effectively with all enquiries from GPs, patients, other departments within the Trust and all other departments, in line with Trust Values.

Action all enquiries effectively, and respond and escalate where appropriate.

Manage clinical dictations on digital dictation or voice recognition systems and administer as required. Transcribe consultant admin and ward rounds if applicable.

Maintain an effective filing system, including the use of scanning systems.

Attend relevant departmental meetings, for example: Team meetings, Admin Forums, etc. Prioritise workload to meet demands of the service.

Process referral letters appropriately, ensuring they are registered to the Patient Service Centre.

Person Specification Personal/professional attributes

Previous experience in customer service, office, and secretarial roles.

Customer Service Course; NHS experience.

Skills

Experience of a range of work procedures and practices.

Minimum 2 years secretarial experience or working for and within a team.

Able to prioritise workload and meet deadlines using own initiative.

Able to remain calm in a busy environment when working under pressure.

Able to make judgements involving a range of facts that require analysis.

Ability to organise a number of complex activities.

Good interpersonal skills; excellent organisational skills.

Previous NHS experience; experience of managing patient pathways and waiting lists.

Skills in NHS computer software.

Qualifications

Computer literate including Word and Excel; GCSE English - Grade A - C.

Medical secretary qualification.
