Job description

Seeking a Practice PA to provide full secretarial service to a consultant neurosurgeon. They will play a vital role in supporting the consultant neurosurgeon in his successful and busy practice.

The PA will be bringing their skills and professionalism into the practice involving duties such as, speaking to patients on the telephone, being responsive and reliable all of which are essential tasks within the practice. The life of a PA/Medical Secretary is varied, interesting and a highly valued role within the practice. The qualities, skills and willingness to learn make a big difference to our patient care and to expanding the medical practice with many opportunities along the way.

The successful applicant will be supported by another two enthusiastic and friendly PAs who are in post. The set up can be mostly virtual (digital dictations) with the practice software accessible remotely. There is a need to be in or near Brighton to pick up post / some office work and have team meetings.

Training will be provided on starting the role (likely 1-2 weeks required to get up to speed with the systems used).

Examples of main PA duties include:

Transcription of clinic letters

Bookkeeping / invoicing

Social media/ website management

Taking calls, contact/liaise with all designated hospitals/clinics for booking clinics and theatre lists ensuring booking information is communicated to all parties as required (mainly performed by the primary PA already in post)

To maintain accurate diary and letter/email records

Following up on business projects.

To provide a point of contact and support for patients having appointments, consultations and clinical procedures with the consultant

Depending on the level of experience, it may take a few weeks to get the level needed to do the work within that time commitment ). There is an expectation that effort and commitment is shown at the early stage in order to pick up how to run the practice processes as early as possible. It may mean (if there is a lack of experience in some aspects of the role) that extra time is needed from the successful applicant to learn / become familiar with the role.

The aim is for availability, Monday to Friday to be able to able to deal with enquiries (realistic time frames to respond to tasks are set within the practice e.g. responding to emails within a full working day/ transcriptions of clinic letters within 2 working days). The successful applicant will be provided with the company mobile phone.

There will be trial period (1 week) prior to taking up the post.

Requirements

A willingness to be flexible about working times (including a 4 hour weekend day for team meeting every 3-4 weeks)

Responsiveness to patients and clients in a timely manner is vital to maintanence and growth of the practice.

With the team meetings, owning a car may be helpful. And location of the applicant needs to be in or near to Brighton.

Good time management and articulate.

Well presented with a professional approach and pride in the work is an essential.

Excellent communicator (verbal and written)

Strong IT skills

Strong administrative skills (ability to work in a fast pace admin role)

Requirement to travel to Brighton to pick up post and attend team meeting (probably 2 visits/week to Nuffield Brighton will be needed for postal collection).

Self motivated / organised (a lot of work will be virtual)

Desirable requirements

Experience with invoicing/ transcription/ secretarial work is desirable but not essential (training will be provided).

Knowledge of internet marketing / social media marketing is desirable (including SEO) but not essential

Experience with medical or medico-legal practice is desirable but not essential.

Pay grade on the range is dependent on experience.

There is an opportunity for pay progression with experience in post and business growth.

Part of the work is remote but there is a requirement to pick up/ send mail from the work address and attend in person as needed. There will be some office based aspects also.

Pay: £19,500.00-£25,000.00 per year
