The Post-Graduate Medical Education Co-Ordinator will provide a comprehensive and efficient administrative service to the Post-Graduate Medical Education Team (PGME) and Three Counties Medical School (TCMS). With guidance and support from the PGME team, alongside the Educational Site Director from TCMS, the Post-Holder will have delegated responsibility for supporting the organisation and delivery of Undergraduate Medical Training associated with TCMS, for Medical Students working across Gloucestershire Hospitals NHS Foundation Trust, alongside being pivotal for the delivery of Gloucestershire Hospitals Trail-Blazer - Enhance Generalist Programme. The Post-Holder will also provide Project and Administrative Support to the PGME Tutors and Team. The proposed interview date is 7th January. Main duties of the job
To work using judgement and accurate information resources within relevant GHNHSFT, NHSE, TCMS Policies and Procedures, exhibiting speed, flexibility, diligence, and good communication skills to present innovative improvements to current practice within the TCMS Undergraduate and PGME Departments. Working as part of the Generalist Trail-Blazer Team at GHNHSFT, to provide comprehensive and effective management, co-ordination, and administrative support, in supporting the next generation of Clinicians to work effectively across Health and Care in Gloucestershire. To purposefully support the TCMS Educational Site Director in organising rotational TCMS Student Placements, Undergraduate Induction Programmes, timetabling and attendance. To co-ordinate with TCMS in Worcester to provide appropriate curriculum requirements for TCMS students whilst placed within GHNHSFT. To collate financial information required for TCMS Business Intelligence, managing accurate financial accounts in association with the Finance Departments at GHNHSFT/TCMS and to liaise with other interested parties, such as GHNHSFT University of Bristol Under-Graduate team as appropriate. Responsible for collating and reporting accurate analytical, and accounting/income/expense information to the Externally employed GGPET Treasurer and Bookkeeper with the data prepared and presented at the GGPET Boards and annual Externally held Annual General Meeting. Within strict deadlines, using business intelligence relating to Current GGPET Memberships, Expired Memberships, Surgery Memberships, Workshop Attendances and Evaluated Feedback analyse the data collated and prepare the bi-annual report for the GGPET Boards and the annual Trustees' Externally held Annual General Meeting. Provide Speaker and Delegate organisational management in collating training registers and electronic feedback uploads for all GGPT Teaching Sessions. To work autonomously in making decisions using analytical and high-level judgement and discretion in escalations, to ensure the continual smooth running and deliverance of the Gloucestershire GP Training Programme, the Enhance Local/South-West Programme and working and supporting TCMS in Gloucestershire. Must have a proven track record of working without direct supervision as an autonomous practitioner, being responsible for delivering agreed personal objectives and those of the PGME/NHSE/GPPET teams. Knowledge, Skills and Experience Required:
Extensive secretarial and administrative experience with a comprehensive knowledge and understanding of the Trust IT/Procurement Systems. NVQ4, RSA 3, or equivalent qualification/standard. Advanced level competence in Microsoft Office (Word, Excel, Access, Power Point and Outlook). A knowledge of the structure of Medical Training/Provision within Primary and Secondary Care. Ability to diligently operate and communicate sensitively and robustly where required with independent judgement and initiative. Excellent communication skills, with the proficiency to liaise with internal and external stakeholders. Responsive to change and able to review, adapt and improve working practices and procedures as required. Self-motivated with a pro-active approach, able to make balanced decisions and work without direct supervision. Previous experience within the NHS in an Acute District General Hospital (DGH), ideally within Medical Education. Person Specification
