Role mission: We are seeking a highly organized, proactive, and resourceful Senior Office Manager and Executive Assistant to lead our global office operations and provide high-level administrative support to the CEO and CFO. This role requires exceptional leadership skills, strategic problem-solving, and an ability to thrive in a fast-paced, dynamic environment. As a key player in the organization, you will oversee the seamless functioning of our global office operations while managing critical schedules, communications, and priorities for our executive team. You will also directly supervise an Office Manager, ensuring consistent operational excellence across all locations. Responsibilities: Office Management: Oversee global office operations, ensuring all facilities run smoothly, efficiently, and within budget. Develop, implement, and maintain office policies, procedures, and standards to support business goals. Oversee the management of vendor relationships, including office leases, supplies, IT support, and other service providers. Oversee office expansions, relocations, or redesigns, partnering with internal teams and external vendors. Ensure compliance with health and safety regulations across all global offices. Track office-related budgets and expenses, providing recommendations for cost-saving measures. Lead sustainability initiatives and implement processes to support environmentally friendly office operations. Oversee sourcing and purchasing activities as required. Oversee the planning and coordination of international company and board events, ensuring alignment with organization objectives. Collaborate with cross-functional teams for successful event, travel and facilities management. Executive Assistance: Provide high-level administrative support to the CEO and CFO, including complex calendar management, travel arrangements, and expense reporting. Prepare agendas, briefing materials, and presentations for meetings, ensuring executives are fully informed and prepared. Act as the primary point of contact for internal and external stakeholders on behalf of the CEO and CFO. Handle confidential and sensitive information with utmost discretion and professionalism. Manage incoming communications, prioritize action items, and follow through to ensure timely resolution. Assist in coordinating board meetings, investor presentations, and other high-profile events as needed. Special Projects: Lead or assist in strategic projects, ranging from process optimization to event planning. Analyze current administrative and operational workflows, identifying opportunities for improvement and automation. What we’re looking for: Proven experience in administrative/operational roles with a global perspective. Proven experience setting up office management and EA functions from scratch or overseeing global/multi-national office and administrative operations Experience establishing operational office management / EA process and procedures Proven experience of providing EA support to CEO & CFO Experience managing client engagement with executive level clients Exceptional organizational and multitasking skills. Strong communication and interpersonal abilities. Familiarity with international event planning, procurement processes, and global contract handling.
