You will be proficient and experienced in the use of Microsoft packages. You will be experienced in managing diaries and calendars. We would prefer if you had experience using electronic clinical records although full training will be given for the systems we use. The post-holder will be required to work as part of a team with other Clinical Administrators and team members and provide cross cover during periods of staff absence. The post-holder will need to be flexible in their approach and use initiative and judgement to organize their own workload. You will be part of a dynamic and supportive team, benefiting from a comprehensive supervision and appraisal system, with a commitment to staff development. Key Responsibilities:

Inputting into, monitoring and printing reports from supported systems, run reports and obtain data for reports when required for all healthcare services on site. To receive incoming telephone calls, and deal with queries where possible or take accurate messages and direct to the appropriate recipient. Deliver an effective and competent level of receptionist and/or clerical support and consistently deliver a “client-focused” service which promotes good customer service and effective working relationships. To generate a range of documentation including letters and reports to a professional standard. This may include the composition of letters to patients and families/carers and other professionals on behalf of the team. Minute taking/prepare agenda appropriately at informal meetings where required, drafting, obtaining approval and distributing in a timely manner. To ensure the appropriate and timely dissemination of information across the team. Deal with concerned patients/relatives and stakeholders with tact, patience and discretion, especially when conveying sensitive information, some of which can be stressful and likely to be emotional. Manage incoming and outgoing post ensuring all incoming mail is date stamped and forwarded to the appropriate person on the day of arrival, including electronic mail received and sent for the teams. Sort outgoing mail according to internal, external departments and relevant agencies.
