The Role

Reporting into the Instant Account Manager (client services), this role is responsible for managing all aspects of the workplace operational delivery onsite for our long-standing City of London based client. You will have the responsibility for Workplace and Facilities services, including the performance of our outsourced suppliers, your client’s satisfaction and workplace experience.

You will integrate seamlessly with the client contacts, while still adhering to Instants values and keeping an eye on the commercial aspects of the contract. Working closely with the clients Head of Workplace Operations ensuring the office workplace place strategy is upheld and continuously enhanced. Ensuring alignment to our client’s values:

Earn Our Reputation Straightforward and Fair Determined to Improve Enjoy Being Different Supported by a strong team, you will take a leading role in the contract’s success, including but not limited to; client engagement, supplier relationship management, owning all escalations, monthly reporting, and H&S plans. You will require a full understanding of your clients’ requirements to ensure that solutions are delivered to time, budget & to client satisfaction. You will also be expected to recognise opportunities for offering additional services to clients. What will you be doing?

Ensure facilities services meet SLAs, costs, and reporting requirements, addressing issues as needed. Build strong supplier relationships and oversee performance through regular reviews and KPIs. Address service issues promptly, improve processes, and manage landlord/tenant relationships. Maintain a high-standard office environment and act as first-line support for workplace inquiries. Coordinate inspections, manage incidents, and maintain compliance records. Lead health and safety efforts, ensuring documentation is up to date and addressing risks. Provide additional support and manage the Workplace Coordinator.

Strong experience in facilities and workplace management within serviced or managed environments. Proven ability to manage external suppliers, contractors, and consultants across diverse services. Knowledge of facilities documentation (O&M manuals, drawings, compliance certificates) and experience in creating operational reports. IOSH qualification in Health & Safety required; NEBOSH desirable but not essential. Familiarity with workplace Health, Safety, and Environmental legislation. Experience in line management, P&L oversight, and client relationship management. Exceptional presentational, relationship-building, and stakeholder influencing skills. Proactive, flexible, and dependable in emergencies, with strong problem-solving and multitasking abilities. Passionate about workplace experience, taking ownership of results and client feedback. Self-motivated with an engaging personality, eager to learn and improve.
