As we continue to grow, we're looking for a talented Administrative Assistant to support our Chief Scientist and enhance our day-to-day operations. In this role you will provide a high-level of administrative support, including managing the Chief Scientist's calendar, scheduling appointments, and prioritizing key matters. This will include:

Responsibilities:

Calendar Management: Take charge of managing the Chief Scientist’s calendar by scheduling appointments and prioritizing key matters.

Travel Coordination: Handle all travel logistics including accommodations and itineraries, ensuring smooth travel experiences.

Meeting Organization: Prepare correspondence, arrange conference calls/meetings with external partners, and plan business luncheons or client dinners.

Event Coordination: Assist with company events and special projects that foster team building and engagement.

Documentation Management: Organize files efficiently while ensuring easy access to relevant materials.

Expense Tracking: Keep track of expenses related to travel/events; ensure timely submissions through the T&E system.

Reporting & Presentations: Prepare reports, presentations, agendas, and minutes that support key meetings/projects within the organization.

Experience Required:

2+ years of experience providing administrative support to senior-level leaders, with demonstrated proficiency in managing schedules, appointments, and coordinating travel.

Strong proficiency in Microsoft Office Suite (Word, PowerPoint, Excel).

Exceptional verbal and written communication skills.

Proven ability to manage time effectively, prioritize tasks, and meet deadlines.

Self-motivated, proactive, and able to anticipate the needs of others. Detail-oriented, with a talent for identifying key information and managing competing priorities.

Professional demeanour, with excellent interpersonal and client-facing communication.

Dependable, trustworthy, and capable of handling confidential matters with integrity.

Willingness to be based from the office 5 days per week (Monday to Friday).
