The Senior Executive Administrator position reports directly to the AMAS General Manager, Organic Peroxides. The role of the Senior Executive Administrator is to provide administrative support to the General Manager and leadership team of the OP BU.

The main responsibilities will include: Prioritizing, managing and coordinating schedules, travel and visa arrangements. Administrative project management. Scheduling, planning & organization of events and meetings. Presentation formatting. Contact database management. Fielding and responding to general questions from the organization. Management of data on the various BU SharePoint sites. BU digital coordination. SAP pricing administration. Month end closing invoicing. Marketing Budget Management. SF support for the sales team. Assistance of the sales team for Sample requests. Monthly reporting of various reports.

Essential Duties & Responsibilities: Office Management (30%):

Arrange key meetings for the BU leadership team, including developing and distributing meeting agendas & materials, site selection, meeting room set-up, meeting supplies, catering needs, A/V, lodging requirements. Assist with travel arrangements for BU leadership team and Arkema France executives as needed. Preparation of effective PowerPoint presentations and other documents/materials for key shareholders and leadership members. Prepare expense reports for General Manager. Update organizational charts. Process Purchase Requisitions, manage timely and accurate invoice processing. Sending shipments as requested. Order office supplies, oversee building and equipment maintenance requests. Assist in arranging 2-3 community events per year for the BU.

Sales/Marketing Administration (30%):

Create various reports for Business, Finance, and Supply Chain Directors. Administer rebates, credits and collections, and invoicing in SAP. Administer Pricing in SAP/ERP system and manage updates and communications regarding pricing. Manage SharePoint Pricing Tool. Provide backup to marketing/sales and customer service for Customer letters. Part of the global communication group. Part of the NA Marketing communication group. Manage CSR tracking requests for both Environmental and Customer demands. Manage any BU subscriptions: owner of the BU various Membership.

Digital Coordinator (20%):

Manage OPs SharePoint site, ensure it is regularly updated. BU IT Champion. Luperox Aps Owner.

Contract Management (10%):

Support when needed the ContractIN system and all contracts. Work with Legal team and Key Business leaders to manage contract process and keep approvals moving. Issue formal quarterly reports of open and dormant contracts for actions. Arrange for semi-annual review of system and document key actions from review with business team.

HR Support (10%):

Set-up and manage interview schedules for interviewing candidates and arrange travel as necessary. Assist with new hire onboarding through ordering IT assets, requesting appropriate IT access and preparing the office space. Support Employee Rewards and Recognition program. Manage any tuition reimbursement for BU Employees.

Minimum Qualification and Education Requirements:

Minimum 6 years of administrative experience supporting Sr. Executives in a team-oriented environment. Experience operating in a multi-regional / global business unit is preferred. High school diploma, BS or AS degree preferred.

Competencies, Knowledge, Skills and Abilities:

Strong working knowledge of SAP and Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams). SharePoint, Salesforce and Concur experience needed. Meeting objectives requires cooperation from various groups/individuals necessitating the fostering of strong relationships throughout the global organization. Strong interpersonal, organizational and communication skills. Ability to interact with individuals at all levels within the organization, including the CEO of the organization. Strong interpersonal skills are required as well as the ability to solve problems and present solutions. Proficiency in data manipulation; strong attention to detail and accuracy. Must be able to manage multiple tasks and projects at the same time and prioritize needs of multiple individuals to ensure needs of all team members supported are met in a timely fashion. Ability to influence without formal authority. Professional demeanor and ability to maintain confidentiality. Ability to work independently and with minimum direction. Self-motivated and strong initiative needed.

Physical Demands/Working Conditions:

Hybrid schedule minimum 3 days in office. Dynamic and fast-paced environment. Supports the site HES policy and complies with all regulatory and internal requirements. Participates in HES activities provided by site management and Arkema Inc. (e.g., Behavioral Base Safety, SafeStart, etc.). Supports and promotes the reporting of all health, safety, environmental, near-miss, accident or injury incidents.
