Description of Role: The Site Administrator is an indispensable asset to our warehouse teams. Specific Responsibilities: Monitoring and Managing Site Consumables: Ensure the uninterrupted flow of operations by keeping a vigilant eye on consumables and packaging materials, placing timely orders to preclude shortages. Raising Purchase Orders: Take charge of generating purchase orders with precision, supporting the seamless procurement of necessary materials and services. Reconciling Accounts Payable Invoices: Maintain the financial health of the site by accurately reconciling accounts payable invoices, ensuring the books are balanced. Liaise with Suppliers and Manage Queries: Act as the crucial link between the company and its suppliers, addressing and resolving queries with efficiency and professionalism. Processing the Weekly Agency Payroll: Oversee the weekly payroll process, ensuring consistency in rates, hours, and management approvals, while conducting thorough reconciliations. Analysis of Labour Hours: Conduct detailed analyses of labour hours, explaining key variances that impact site performance, and offer insights for improvement. Month-End Support: Engage in month-end duties, offering support and gaining exposure to foundational accounting principles, enhancing your professional development. Preparing and Raising Customer Invoices: Craft and issue accurate customer invoices, contributing to smooth financial transactions and customer satisfaction. General Site Ordering: Oversee general ordering processes to meet site needs, streamlining operations through effective inventory management. Administrative Support: Deliver precise and efficient administrative support to both the operational and finance teams, fostering a collaborative work environment. Key Skills for the Role: Technical Skills: Proficient in IT: Competency in MS Excel and Office is essential, with SAP experience being desirable. Soft Skills & Experience: Ability to Plan and Prioritise: Demonstrated capability to manage workload independently, ensuring all tasks are completed timely and efficiently. Drive and Energy: Exhibit a proactive approach towards continuous improvement of site performance, showing dedication and enthusiasm. Attention to Detail: A meticulous eye for detail is crucial for accuracy and consistency in all responsibilities. Effective Communication: Maintain clear and effective communication across all levels of the organisation, fostering a collaborative and inclusive work culture. Qualifications & Experience: Experience in a Similar Environment: Previous experience in warehousing or a 3PL environment is highly beneficial. Proven Track Record in Similar Roles: Demonstrable experience in roles with similar responsibilities, showcasing independence and initiative. Self-Starter: Ability to manage regular deliverables alongside ad hoc tasks, identifying priority areas without requiring detailed supervision. Shifts & Pay: Monday to Friday, 40 hours per week.
