Job Purpose/Objectives of a QHSE Co-Ordinator
The primary purpose of this position is to maintain QHSE systems, collate, report and monitor accidents and incidents, near misses, audits (internal/external, 5S and Safe Visits); work with the QHSE team in providing administrative support; liaise with the business on QHSE related items; collate and manage the company’s external certification and accreditation; manage the company’s IMS.
Key Responsibilities:
To administer the internal reporting of HSE activity across the business and ensure the provision of timely information for management and board reports.
Review and update Integrated Management System (IMS) policies and procedures commensurate with instructions of Head of QHSE.
Ensure that policies and procedures associated with other departments are reviewed as per compliance requirements.
Manage QHSE accident statistics register and maintain associated charts and provide reports as required.
Receive end of month reports from regional QHSE managers for data collation into monthly QHSE board reports.
Prepare monthly reports in PowerPoint format from existing data sources to provide an overview of QHSE activity across the business ensuring timely dispatch to relevant senior leadership and executive team.
Manage the Quality, Health, Safety and Environment (QHSE) administrative functions with the support required to ensure that targets are met.
Ensure company QHSE accreditations are maintained, up-to-date and paid for.
Coordinate audit dates and assist external auditors.
Liaise with accrediting bodies and complete company accreditation questionnaires as necessary.
Attend audits as required by Head of QHSE.
Focal point for QHSE Make the Safe Choice Lift Channel uploading QHSE communications onto the digital platform.
Maintain user access and monitor inputs on to the company accident/incident electronic reporting system AssessNet.
Upload reports from AssessNet to drive the Power BI report.
Liaise with external agencies to coordinate property portfolio safety test/inspections:
Testing Services: Fire risk assessment/fire asset tests.
Life Environmental: Legionella assessments.
Amosite: Asbestos
Fumex: LEV.
Work with Commercial Department for QHSE related input for work-winning bids.
Process QHSE purchase orders and invoices, resolving any queries that may arise.
Review and authorise Supply Chain pre-approval questionnaire submissions.
Fulfil the role of First Aider and Fire Marshal for the Head Office location.
Ancillary tool approvals – new assets/transfers/deletions.
Handle incoming day-to-day QHSE-related queries from across the business.
Maintain Head Office Facilities register file.
Deal with visiting contractors to the Head Office site.
Carry out any additional requests as may be required and requested.
