Given the nature of the role, the person needs to think quickly to prioritize urgent tasks and display good time management. Extensive diary management and meeting coordination (room bookings, printing confidential materials, preparation of materials, and ADHOC administrative duties) Coordination of flights, tickets, FX, accommodation, and ground transportation Expense processing using the internal Nomura systems and Amex reconciling Invoice processing and approval of project invoices Telephone duties including comprehensive messages and screening calls Providing absence cover to other team members for holidays Printing of very confidential material and collecting currency from the service center Preparation and distribution of papers ahead of committee meetings Checking bankers in for flights Maintaining a log of holiday & planned/unplanned absences for the team Expenses management and processing receipts efficiently and in accordance with Nomura’s policies Ad-Hoc administrative duties Set up for new joiners To act as a first point of contact for a number of senior bankers, clients, and colleagues, fielding queries, responding to fast-moving issues as they arise in the workplace Reacting to urgent client requests Opening calls/video conference links when required Arranging and liaising with couriers Collecting clients from reception and escorting them to meeting rooms Desired Profile, Qualifications, and Knowledge Required
