In this role, you will collaborate with the Global Events Team and our business stakeholders to plan, coordinate, and execute a variety of domestic and international high-impact events that not only align with our business objectives but also enhance our brand visibility and generate meaningful growth and sales opportunities. Through innovative strategies, creative excellence, and meticulous execution, you will manage all aspects of event logistics and ensure that all exhibit materials align with Wiley’s brand guidelines. Additionally, you will develop comprehensive pre- and post-event reports, oversee event budgets, and support virtual event execution. How you will make an impact: Collaborate with our business stakeholder teams in planning, coordinating, and executing approximately 50-70 domestic and some international conferences annually, ensuring alignment with key business objectives. Communicate regularly with our business stakeholders during the planning process to provide detailed status updates and keep the event planning on track. Logistics and project management: order and manage all show services, including compiling booklists, shipping orders, equipment orders, and packaging orders for trade shows. Facilitate leads process and management for events. Plan and manage on-site events such as focus groups, board meetings, booth events, and parties, including sourcing venues, negotiating contracts, and organizing logistics. Manage prompt card payment and/or processing of invoices through Wiley’s e-procure system; provide detailed expense accounting during conference planning and the annual budgeting process. Research annual show schedules, update event information, and ensure timely contracting of shows. Coordinate onsite activities with contract staff for the installation, dismantling, shipping, and storage of tradeshow assets and collateral. Develop and implement pre- and post-event reports, including qualitative and quantitative data collection and follow-up with exhibit staff to identify strengths and opportunities for future events. Other Responsibilities: Perform other job-related duties as assigned. Support the Director of Event Operations with the planning, logistics, and staffing for the 2 Book Fairs, which are key industry events for the Wiley brand (London Book Fair in March, Frankfurt Book Fair in October). Assist with the UK loan technology (stored in Oxford) with regular software updates, upkeeping of instructions, and inventory checks. What we look for: Degree in Marketing, Hospitality, Communications, or a related field preferred, but not required. Proven track record in event execution and project management. Willingness to travel and work evenings and weekends as needed. Ability to perform manual tasks as needed, including exhibit booth setup and dismantling, as well as packing and shipping show materials. Ability to manage projects based on direction from multiple sources while maintaining effective relationships. Strong organizational skills with the ability to prioritize multiple tasks effectively. Excellent verbal, written, and interpersonal communication skills. Proficiency in webinar and virtual event platforms (e.g., Zoom, CVENT) and ability to learn new event technologies quickly.
