Carry out site visits to check on the upkeep of the building and any works needed, liaising with residents and Directors regarding complaints or issues. Update minutes and checklists and liaise with office support to action and distribute minutes. Liaise with the maintenance team to obtain quotes/estimates from contractors for works required, ensuring detailed information is provided to enable appropriate contracts/Quotes to be set up. Liaise with contractors on site, ensuring mutual understanding of the requirements and desired outcome of the works and to ensure safe working practices. Prepare and manage annual budgets for client developments based on accounting and lease information available. Ensure circulation of budgets before the beginning of each financial year and work in line with the budget procedure. Working knowledge of preparing Section 20’s under the Landlord and Tenant Act 1985 for major works, Health and Safety legislation, buildings insurance, TPI, and RICS standards. Complete quarterly checks of the communal fire doors as part of your quarterly site visit and update the fire door registers as required. Attend and chair meetings on behalf of the residential management companies, preparing minutes from the meeting and ensuring any action arising from the meetings is taken promptly. Some of these meetings can take place during weekday evenings with occasional weekends. Understand and interpret leases. Ensure all Fire Risk and Health and Safety are compliant for each site and liaise with the Health and Safety Manager in relation to concerns. Remedial works are to be processed to Maintenance 2 to raise orders. Keep an asset register for each site up to date and include all H & S requirements. Ensure mandatory inspections are completed and in line with regulations. Market and find new business leads to grow the portfolio of developments in Wales. Authorize Invoice payments up to £500 and/or in line with the agreement amount confirmed with the directors of the RMC/RTM. Attend training courses/webinars to keep up to date with current legislation and to obtain the IRPM Qualification. Establish and maintain effective communications with other staff in the company to facilitate co-operation in all matters. Manage your time and diary effectively. Working Conditions:
37.5 hours a week with the occasional evening/weekend meeting. 20 days annual leave plus bank holidays, increasing by 1 day per year to a maximum of 30 days after 12 months. Additional days leave on your birthday. 5 days company sick pay after 12 months of service. Mobile phone, tablet and laptop supplied.
