Role Summary: We are seeking an experienced and detail-oriented

Accounts Payable Manager

to lead and oversee the accounts payable function within our growing property lettings agency. The role involves managing landlord and tenant payments, ensuring accurate financial records, and maintaining compliance with company policies and regulatory requirements. The ideal candidate will bring expertise in property management finance, excellent organisational skills, and a proactive approach to process improvement.

Key Responsibilities: Accounts Payable Management:

Oversee the entire accounts payable process, including the timely and accurate processing of invoices, payment runs, and reconciliations. Ensure all vendor invoices are reviewed, approved, and coded correctly in line with company policies. Manage relationships with suppliers and contractors, addressing payment inquiries and resolving disputes promptly. Manage any rental arrears and rental guarantee insurance claims. Manage separate deposit accounts and ensure these balance with TDS, a third-party deposit protection scheme.

Financial Oversight and Reporting:

Prepare and analyse accounts payable reports, including aging summaries and cash flow projections. Monitor and report on key performance indicators (KPIs) related to accounts payable. Collaborate with the finance team to ensure accurate month-end and year-end close processes. Ensure landlords are paid on the date specified or informed promptly if there is an issue with their payment. Create detailed landlord reports to explain statements with irregular charges.

Property Lettings Agency Specific Duties:

Reconcile contractor payments for property repairs, maintenance, and services. Liaise with property managers to verify invoice approvals and ensure expenses align with property budgets. Track and process landlord payments where applicable, ensuring transparency and accuracy.

Compliance and Policy Adherence:

Ensure compliance with relevant financial regulations and company policies. Implement and maintain robust internal controls to prevent errors and fraud in the accounts payable process.

Leadership and Team Management:

Supervise and mentor the accounts payable team, ensuring high levels of performance and motivation. Develop and implement training programs to improve team efficiency and knowledge. Lead process improvement initiatives to enhance the accuracy and efficiency of accounts payable operations.

Required Skills and Experience: Essential: Proven experience in accounts payable or finance roles, with at least 2 years in a managerial or supervisory capacity. Strong analytical and problem-solving skills. Excellent organisational abilities with a keen eye for detail. Ability to manage multiple priorities in a fast-paced environment. Desirable: Professional accounting qualification (e.g., AAT, ACCA, or equivalent). Experience within the property lettings or real estate industry. Knowledge of property management financial operations, including contractor/vendor payments and landlord reporting. Proficiency in SME software.
