Each of the Events Team are responsible for project budgets, signing off all supplier contracts, conducting all post-event reconciliations, as well as leading onsite project delivery logistics and managing onsite delivery teams. In addition, our team ensures full compliance with the company’s policies and external pharmaceutical standards. We can manage everything for the event from concept to completion including: event design, destination selection, venue finding, delegate and speaker management, travel, theming, entertainment, logistics for both in-person & virtual attendees and so much more. YOUR ROLE AND RESPONSIBILITIES As an events assistant and coordinator at High 5 Events, you will work alongside experienced and supportive Event Managers and Event Directors. Your role will be to provide support as part of the team across all areas of events. This individual will be working on a broad portfolio of B2B and B2C projects internationally for global brands and will be responsible for leading project delivery. Our portfolio is varied and covers clients within retail, hospitality, but mostly pharmaceutical to name a few. Our Event Managers lead the global delivery which includes internal comms events, exhibitions, product launches, conferences, and congresses for up to 1000 pax, and most projects often have a large production element. As an events assistant and coordinator, there will be plenty of options to get out to many of the events held across the world - meeting clients, coordinating delegates, and working with suppliers to help create amazing events. Overall responsibilities include but are not limited to: Research into virtual platforms, hotels, other venues and destinations and prepares descriptive write-ups for use in proposals. Assists in the preparation and production of proposals. Prepares all appropriate documentation prior to an event, including delegate packs, briefing materials, signs, airline tickets, luggage labels, badges, stationery, and any relevant files/discs. Assists with the organisation of smaller events, liaising with suppliers, negotiating preferential rates, and preparing quotes. Will confirm bookings following confirmation from client. Undertakes written correspondence within the specified time frame to a pre-determined standard. Provides assistance, should it become necessary, with groups on site (either in the UK or overseas) after prior consultation & agreement with the Line Manager. Reviews internal processes and procedures on a regular basis, making recommendations for improvements where appropriate. Client Liaison - Maintains excellent relations with the client at all times, and ensures that any requests are handled efficiently and effectively. Finance - Prepares the invoices upon completion of the event in the specified time frame.
