The role

InsurX is seeking an Executive Assistant

to support our CEO, Gilbert, as he leads the company through its next phase of growth. This role will focus on enabling him to maximize his impact while providing broader support to the leadership team and commercial team where needed.

Key Responsibilities

Executive Support to the CEO Enable Gilbert to focus on high-impact activities by managing his schedule, ensuring seamless logistics for meetings, travel arrangements, and events. Act as a gatekeeper and first point of contact, prioritizing and filtering emails and communications. Assess opportunities and flag or action them appropriately. Prepare agendas, draft meeting minutes, and follow up on action items to ensure accountability and progress.

Leadership Team and Commercial Support Provide light-touch support to the leadership team, helping to coordinate projects or initiatives as needed. Assist the commercial team with administrative or operational tasks, including meeting preparation and tracking priorities.

Office Support Help with the smooth running of the London office, including managing supplies, organizing team events, and ensuring a positive work environment.

Ad Hoc Projects Take ownership of special projects or programs assigned by Gilbert or the leadership team, ensuring timely and high-quality execution.

About you

Although preferred, you don’t need prior experience working as an EA for a CEO. What matters most is your desire to make a difference and your ability to support Gilbert and the wider InsurX team effectively. Key Skills and Attributes:

Strong organizational skills and exceptional attention to detail. Excellent verbal and written communication skills, with a professional yet approachable demeanor. Comfortable navigating ambiguity and adapting quickly in a dynamic environment. A proactive, 'roll-up-your-sleeves' attitude, with the ability to anticipate needs and act on your initiative. Experience with diary management, prioritizing tasks, and coordinating multiple stakeholders is a plus but not essential.
