As our Service Administrator at Heathrow Airport, you’ll act as the backbone of our service operations, ensuring smooth coordination of maintenance activities and accurate reporting for the Heathrow Service Team. Your role will involve liaising with internal and external stakeholders, managing service data, and contributing to the seamless operation of critical service activities.

Responsibilities Include: Responsible for meeting daily service needs and driving customer satisfaction Support data entry (Service/Maintenance reports, etc) in customer Service Management System (MAXIMO), maintaining accurate and up-to-date records. Ensure engineers accurately report Corrective Maintenance activities in MAXIMO within 4-hours of work completion. Plan Preventive Maintenance (PM) and Corrective Maintenance (CM) activities and communicate, where necessary, on the progress of the work. Ensure the accurate reporting of Preventative Maintenance activities in Maximo within 7 Calendar days of work completion. Ensure that any Time & Material Work Orders are created for any additional work outside of the PPM/CM, order any parts required and reschedule any engineering visits. Verify that Servicemax Service Reports are submitted and uploaded daily to Maximo and validate that the Service Reports are in line with planning schedules. Collecting data from the Service Management System reporting tools and preparing documentation and reports for various requirements. Management of spare parts orders, bookings and stock consumption accuracy and Sync failures in Servicemax and SAP. Provide reporting on monthly CM WOs to reconcile with monthly invoicing of labour hours against Heathrow Service contracts. Provide reporting on used spare parts monthly. Monitoring PM plans are in place in SVMX. Collect and report EHS monthly data. Support the Management of the Heathrow Stock On Site (SOS), administration of RMA parts for shipping, including any necessary documentation. Perform Quarterly stock cycle counts at Heathrow airport and investigate any discrepancies with Service Supply Chain. Raise Customer Quotations and Purchase Orders for locally purchased supplies, tools, materials and consumables within 2 days of request. Coordination with the Contracts Specialist and Financial Controller for any Purchase Order or Invoicing administration. Track and manage Test & Measuring Equipment calibration. Ensure Equipment asset data for Service contracts and new machine warranties is provided to the OTI Contracts Specialist for entry into SAP, ensuring all Ship To and Location details are correct. Must comply with all applicable export and Heathrow security regulations. Maintains clear and concise business communication proficiency, both oral and written. CI mindset – owner of the key metrics within region. Travel to the Hemel Hempstead office site, overtime and work hours other than Monday-Friday may be required.
