We have a full-time position available for an energetic person within our Operations Team based at London Heathrow. This role is office-based but may also require some driving (local and occasional). The successful candidate will have the ability to learn quickly, be self-motivated, and eager to succeed. Responsibilities include: Assist customers with country-specific regulatory requirements. Obtain or help prepare specific shipping documentation such as CITES, FDA, USDA, APHA UK, ATA Carnet, etc. Create air freight bookings with airlines. Coordinate shipments between Medair offices & suppliers worldwide. Coordinate the day-to-day import and/or export of products, including reviewing orders and documents. Customs Clearance using CDS. Track and communicate all occurrences such as delays, issues, and work on immediate resolution. Keep customers updated with shipment progress until delivery. Timely & accurate capture of all delivery status updates and proof of delivery details (POD’s). Complete Quality Assurance controlled documents. Ensure that all Standard Operating Procedures (SOP’s) are followed. Assist within the temperature data-logging department. Prepare validated temperature-controlled packaging units. Assist with inventory counts, update inventory system, and notify purchasers of stock depletion. Must be available for evening and weekend duty phone roster. Some overtime work may be required. General office duties as required. Other duties and responsibilities will be assigned as business demands deem necessary. Qualifications: Minimum 2 years of office work experience within the air freight forwarding environment, with knowledge and experience in the Life Science / Pharma sector. Proficiency with MS Office, Windows OS, email, and Internet usage/research. A working knowledge of Sequoia or similar customs system – both Import and Export. Have the ability to assess which customs procedures to select. Excellent verbal and written communications skills. Courteous phone manner. Effective time management and task management skills. Good knowledge of geography. Ability to work efficiently while managing multiple projects/tasks/systems simultaneously. Flexibility with shift/schedule.
