Job summary An exciting opportunity has arisen within the new Surgical Centre at Victoria Infirmary Northwich, VIN, for a full-time Clinic Coordinator to join our team. You will be part of a well-established team in a very busy department, your role is to manage and monitor clinics and support the managerial team and secretaries with clinic related queries. Main duties of the job Reviewing clinic slot utilisation Amending clinic templates Monitoring ASI's & management of escalations Making New and FU appointment's The successful applicant will have: Excellent accuracy, organisational and communication skills Excellent interpersonal skills Be a team player Able to work under pressure and meet demanding deadlines A high level of concentration is required and attention to detail. The Trust, which manages Leighton Hospital in Crewe, Victoria Infirmary in Northwich, and Elmhurst Intermediate Care Centre in Winsford, was established as an NHS Trust in April 1991 and became a Foundation Trust in April 2008. Job responsibilities Provide a comprehensive, quality, confidential administration service to the Divisions and their team in support of the Support Manager/Service Manager. Proactively manage clinic bookings and appointments, including making recommendations and implementing any authorised changes to clinic templates to ensure best use of capacity and compliance with national targets. Organise workload and co-ordinate activities in conjunction with the Support Manager to ensure that an efficient service is provided. Exercise initiative suitable to the role, and fully support other colleagues in the administrative team. Ensure that all information and documentation is produced to expected standards of performance, and according to agreed timescales. Maintain constructive relationships within and across Divisions and externally to improve the effectiveness and efficiency of services to patients. Be fully conversant with all required electronic systems for correspondence, clinic management and the retrieval of results. Ensure that the case note tracking system is functioning correctly, and that case notes are available, complete, and fit for purpose. Support the Division to analyse and act on information to proactively manage and maintain relevant NHS targets, including profiling activity to ensure target requirements are met. Person Specification EXPERIENCE/QUALIFICATIONS Essential Computer skills, Microsoft Office Awareness of the need for confidentiality in accordance with Data Protection Act and national/local guidelines Desirable Knowledge of Medical Terminology Advanced ECDL modules or equivalent SKILLS Essential Demonstrate excellent verbal and written communication skills. Ability to work on own initiative and prioritise own work. Desirable Understand and manage health records/waiting lists and ICS computer systems. PHYSICAL REQUIREMENTS Essential Good attendance record. Desirable Ability to perform a wide range of duties according to the Job Description.
