The Role An exciting opportunity has arisen within Matthew Algie to apply for the position of Technical Service Administrator on a full-time, permanent basis. In your new role, you will provide proactive processing and booking-in of all parts and machinery for the Stores Department. This department handles the machinery and spare parts processing for our impressive range of coffee machines and coffee equipment enjoyed by our customers across the UK and Ireland.
Key Responsibilities: Inputting data to Metrix and Dynamics Creating work orders for all new equipment Responding to Parts Department email – inbox management Dealing with warranty returns (emailing suppliers, arranging replacement parts, etc.) Parts and machine order processing / booking-in Stock cycle counting Maintaining stock and returns of refurb parts on relevant portals Liaise with Field Engineers and all key stakeholders regarding parts requirements Loading of documents to Coffee Safe Managing M&S call off spreadsheet Dealing with carrier manifests Generating and maintaining spreadsheet to track write-off equipment Key Performance Indicators: In line with department KPIs All work should be carried out in a timely and professional manner within the time scales given by the department supervisors. Person Specification Education / Qualifications / Training: Educated to Scottish Higher level or equivalent (desirable) Experience: Significant previous experience in an office administration environment Experience in checking the accuracy of documents Previous experience working in a Technical Services Environment Skills / Knowledge: High level of computer literacy Strong ability to multitask Good attention to detail and accuracy Excellent proven communication skills Excellent interpersonal skills to be able to build rapport with colleagues across the organisation Good written and oral communication skills Computer Literate including use of Microsoft Excel, Word, PowerPoint, and Outlook. Personal Attributes: A calm, positive approach and working effectively under pressure. Good time management and prioritisation skills Ability to learn and implement new ways of working A confident, friendly individual with smart appearance Ability to work independently on their own and as part of a team.
