The Mobile Communications business at Poole supplies on-board GSM-R equipment and other engineering solutions to rail industry operators and suppliers, and Network providers, across the globe.

The Product Supply Team facilitates the manufacturing and supply of train communication systems to the customer projects and maintains strong operational relationships with the Siemens manufacturing facility in Chippenham as well as other internal and external stakeholders and key suppliers.

The Product Supply Administrator is responsible for coordinating and carrying out administrative duties and processes to enable excellent delivery and customer service performance to both UK and International train builders and Train Operation Companies

You'll make a difference by...

Responsible for end to end delivery of all product orders, including the picking and allocation of stock, creation of delivery notes, material transfers, courier bookings and consignment tracking Customer / stakeholder contact point for deliveries for UK and international product orders Creation and maintenance of order/project delivery schedules Create export documentation and raise clearance instructions to shipping agents Maintain the export database and provide accurate data during ECC audits Manage end to end order processing, including acknowledgment of customer orders, validate and authorize variation requests, and resolve identified issues Raise requests to purchase, place orders as directed and monitor progress with internal and external suppliers Provide delivery updates to assure the integrity of the business financial forecast Submit invoicing requests in accordance with defined commercial contracts Assist in the preparation of customer quotations for ad-hoc product orders Encourage continuous improvement to the quality of customer service and identify opportunities to implement Assist in the management of inventory based at site and distribution centres and provide accurate stock reports as required Obtain supply updates from the manufacturing team and participate in manufacturing reviews Arrange and implement product inspections with business quality representative Maintain the report of manufactured product and distribute to stakeholders as required Assist in the verification of build records and test certificates, ensuring any non-conformances are escalated to business quality department Process returns and repairs for the business Assist as and when required within the business Encourage health and safety best practice at all times

Accomplished literacy and numeracy skills Excellent communication skills at all business levels Proactively takes ownership of tasks Adaptable and flexible attitude to ensure business performance and success Confident collaborative attitude Able to work to defined processing or use initiative Experience in Stock Control and Procurement, within supply / manufacturing environment desirable Self motivated with ability to achieve objectives within challenging deadlines Logical and practical approach Experience of database maintenance and reporting SAP or material resourcing planning application experience desirable Very good working skills of MS Excel, Teams, MS Word, MS Outlook
