Freelance Event Specialist

to help us manage the logistics of an upcoming in-person event. The right candidate will be based in Glasgow, Scotland, and have corporate event experience, entrepreneurial spirit, extreme passion for our mission, and the energy and discipline to thrive in a start-up tech environment. Who are we? Visit.org helps companies discover & book thousands of carefully curated social impact team experiences, led by and benefitting local nonprofits. Our proprietary library of team-based experiences spans 90+ countries, providing HR, DEI, CSR, and Meetings & Events leaders with highly scalable, culturally appropriate content for purpose-driven employee and client engagement. Some of our customers include Colgate, Paramount, Visa, Ancestry, Tommy Bahama, and more. Responsibilities: Coordinate all event details, shipping materials, and staffing for each event, acting as the on-site coordinator for engaging team-building activities and events that support a great cause. Participate in virtual planning meetings with corporate partners, nonprofit partners, and Visit.org event coordinators. Take ownership of in-person events: set up, align with the on-site team, tear down, clean site areas, problem-solve, and ensure a high-quality customer experience. Represent Visit.org as a leader and problem solver at events. Align roles and responsibilities with the on-site team, including event hosts, nonprofit organizations, venues, and corporate partners. Manage the check-in process for in-person events, providing a warm and friendly welcome to guests. Problem-solve issues such as missing supplies, late staff, and technology challenges. Escalate issues to the Events Team when necessary. Provide consistent updates, photos, and videos to the Events Team throughout the event. Assist with breakdown after the event, helping to clean the site and repackage materials. Qualifications: Fluency in English and strong communication skills. Based in Glasgow, Scotland. Flexible schedule with availability to work on a contract per-event basis. Experience in complex, large-scale events as well as smaller executive-level events. Proven experience in executing high-level events and enhancing customer experience. Resourceful, with the ability to exhibit grace under pressure and be solutions-minded. Quick thinker, able to problem-solve on the fly. Self-starter who is organized and detail-oriented. Strong interpersonal and customer service skills. Experience with group facilitation and managing group dynamics. Ability to work flexible hours, including nights and weekends. Willing to travel to various areas of the local region. Able to wear many hats and take on varied tasks and projects. Comfortable interacting with large crowds. Physical Demands: Able to lift, slide, and carry up to 30lbs. Able to stand for extended periods. What we offer: This is an in-person, per-event contract role in Glasgow, Scotland. This role is open only to candidates already based in Glasgow, Scotland. No relocation packages are offered at this time.
