To provide a consistent and high-quality Personal Assistant (PA) service to a group of Clinicians and their teams while supervising the provision of a comprehensive medical secretarial service by a group of staff. The Senior Medical Secretary will have oversight of the referral to treatment time pathway for their consultants' patients ensuring they are managed efficiently and effectively through their agreed clinical pathways and where it is not possible that the correct escalation procedures are followed.
Job Dimensions:
To be responsible for prioritising work, inpatient scheduling for our adult and paediatric services, typing clinical and general administration correspondence, and being the first point of contact for patients and other visitors to the department.
To provide a comprehensive secretarial service to the consultant body and a high standard of service to patients and staff.
Knowledge, Skills and Experience Required: Qualifications: Audio typing/Word Processing Skills (RSA III) or equivalent experience (essential) GCSE Grade C or above (or equivalent e.g. AMSPAR Level 2 qualification) in English and Maths (essential) ECDL (desirable) Experience: At least two years experience in a healthcare environment in a PA-based role or the equivalent experience as a Team Medical Secretary (essential) Coordinating and managing a team workload; delegating and prioritising tasks as required (essential) Using Trust systems to track and update patient journeys (desirable) The ability to understand and use simple Trust reports (desirable) An understanding of the principles of data quality (essential) Using a variety of Microsoft office packages (essential) Managing multiple and complex diary schedules (essential) Organising and administrating meetings (essential) Organising travel (desirable) Skills & Knowledge: Interpersonal and communication skills (essential) Organisational skills and time management (essential) Patient focus applied to all areas of work (essential) Supervisory skills to support and manage the workload of a small group of staff (essential) The ability to work as part of a team (essential) Ability to deal with patients/customers in an appropriate and supportive manner (essential) Ability to communicate sensitively with a wide range of people (essential) Knowledge and application of the Data Protection Act (essential) Core Values:

Principal Duties and Areas of Responsibility: Provide a wide-ranging PA service to a group of clinicians. Manage the flow of patients ensuring tests and/or appointments are booked within necessary timescales. Co-ordinate and transcribe/process responses to formal patient complaints. Coordinate and supervise the day-to-day activities and workload of a small team of medical secretaries. Support the Team Medical Secretaries to ensure service provision meets relevant quality standards. Be the departmental super-user/system administrator for voice recognition and digital dictation. Manage and prioritise departmental workload on a day-to-day basis.
