To provide efficient and comprehensive secretarial and administrative support within the Dermatology and Plastic Surgery Department. To perform all allocated secretarial and administrative tasks required to meet the needs of a very busy service. Main duties of the job
Validation of patient pathways on eTrack, deal with queries from data quality. Deal with telephone enquiries both internal and external. Provide administrative support to Clinicians and Nursing colleagues. Request/cancel clinics as and when required using the ClinicManager system. Dealing with emails in generic mailboxes. Utilising CAREFLOW (Patient Administration System), E-Track, EPRO, EVOLVE, ClinicMan, ICE and MS Teams to provide an efficient service for patients, staff and visitors. Utilise other software packages, as required, to maintain records for audit directly relevant to the post. Support the smooth running of the Dermatology and Plastic Surgery Department. Respond to enquiries from clinics and wards (personal and telephone) ensuring good communication and appropriate referrals. Knowledge of the secretarial work within the specialty enabling appropriate support with workloads. Demonstrate initiative, tact, and ensure confidentiality is maintained at all times. Liaise with patients, consultants/teams, pre-assessment centres, wards, and other departments and communicate with patients, relatives, and other hospitals. Person specification
Qualifications
Educated to GCSE level standard English Language at Grade A – C (or equivalent) RSA II typing or equivalent experience Audio typing qualification or recent relevant experience NVQ II or III Business Administration Experience
Experience of using MS Office, particularly MS Word/Excel/Outlook Experience of working with the public and/or other professionals Demonstrate an understanding of customer care/ability to work with sensitive and confidential information Experience of working within the NHS and an understanding of medical terminology Experience of using Hospital systems, for example PAS (Patient Administration System) Knowledge
