Imaging Admin/Reception Officer - Band 3

Contract 1 Full-time role 37.5 hours

per week. The post holder will provide a full clerical and receptionist service supporting multidisciplinary staff in the Imaging Department within the operating hours of 8-8pm Monday to Saturday (potentially to also include Sundays.) The current working hours are Monday to Friday, 08:45 AM to 05:00 PM. This may be adjusted in the future to include a shift pattern that spans from Monday to Sunday. The post holder will be responsible for using the IT systems to ensure timely and accurate data is recorded for patients accessing the service. The post holder will carry out his/her duties in such a way as to make a direct and positive contribution to the organisation of work identified and ensure confidentiality is maintained at all times. Main duties of the job

To provide a welcoming and efficient reception service by greeting patients, visitors and staff accessing the Imaging Department. Book appointments and manage cancellations and update patient details. To work on rotation through the admin key areas of the department. Registration/booking of patients by hospital procedure of all new and existing attenders to the department. Printing of new referrals from the generic email, Answer GP’s and patients queries. Sorting of all referrals into the correct modality and urgency, ensuring all requests forms are stamped and put on the referrals list, ensuring all forms are put in the correct place. To deal promptly and in a professional manner with telephone or email queries taking the necessary action required to assist the caller/email, including transferring the call to another department if appropriate. To calculate when scan appointments are required, taking into account the varying criteria for each type of appointment and timelines such as Estimated Due Date. To work unsupervised, manage and prioritise own workload within occupational guidelines. Person specification

Educated to GCSE Level (or Equivalent) in English and Maths SKILLS
