Accounts & Admin Assistant

Top Gear Motors are a well established family owned business for over 28 years. Based in the Omagh and Castlederg area, we provide a number of services in the automotive sector to include; the sale of Used cars & vans, servicing, MOT preparation and the sale of vehicle accessories. Due to expansion into a new premises, we have a vacancy for an Accounts Assistant to join our team in our Omagh or Castlederg offices.

Reporting to the Company Dealer Principal, you will be responsible for assisting with and completing the duties below.


Key Responsibilities

  • Matching/reviewing of invoices to delivery notes and orders

  • Processing invoices to DMS system Clickdealer

  • Reconciliation of creditor statements at month end

  • Preparation of month end supplier payment run

  • Processing of journals to the nominal ledgers

  • Reconciliation of nominal ledger balances and purchase ledger control accounts

  • Bank and credit card statement reconciliations

  • Dealing with supplier and staff queries

  • Resolve invoice discrepancies and ensure all invoices due for payment are either paid or queried in a timely fashion

  • Filing

  • Organisation of customer paperwork in compliance of GDPR

  • Organisation of vehicle documents


What you'll need to succeed

  • At least a minimum of 3 years previous experience in an Accounts role

  • Experience with a modern accounts package is essential

  • Experience in the Automotive Sector would be desirable


Skills / Knowledge

  • Organised and able to prioritise workload with accurate record keeping

  • Ability to work to deadlines and understand urgency of month end cut-offs

  • Administrative Assistance and Executive Administrative Assistance skills
  • Strong Phone Etiquette and Communication skills
  • Clerical Skills

  • Be able to demonstrate initiative whilst working in a team environment

  • Proficient in Microsoft packages including outlook, word and excel

  • Strong interpersonal and communication skills both written and verbal

  • Excellent organizational and time management abilities
  • Experience in accounts payable/receivable is a plus
  • Attention to detail and accuracy in data entry
  • Ability to multitask and prioritize tasks effectively

Flexible weekly hours: 35 – 40 hours per week

Salary from: £28,000 to £32,000 (based on an average of 40 hours per week)
