An exciting opportunity has arisen for an enthusiastic and well-motivated Band 4 Admin Team Lead to join the newly established Care Coordination Hub covering South Tyneside and Sunderland Community Health Services, based at Clarendon House in Hebburn. This service is still within its implementation stage so is a great opportunity to contribute to new ideas and ways of working, striving forward with positive change. The post holder will work alongside another Admin Team Lead within the department to ensure the safe administrative management of all patients within our services. The post holder will be required to demonstrate effective and efficient use of Patient Recording Systems and Microsoft Office Packages. It is important the right candidate has the ability to communicate effectively with people of all levels by telephone and in person and display the ability to follow policies and procedures. Excellent organisational skills and time management skills are essential. We are looking for a candidate with significant experience across a range of processes including management/supervision of staff, allocation of work/resource, creation of standard operating procedures and training plans. The candidate appointed will also be trained and expected to cover in the absence of colleagues. 37.5 hours per week, primarily covering shifts Monday to Friday with the occasional weekend working. Main duties of the job

Day-to-day management of Call Handler/Administration staff within allocated areas of responsibility, ensuring all staff are trained to a high level and kept up to date with process changes. Completion of human resources related tasks including recruitment, staff appraisals and sickness absence reviews. Assist with the creation of Standard Operating Procedures for all defined tasks. Attendance at meetings and training appropriate to areas of responsibility and communicating feedback from these to the wider team. Working alongside the other Admin Team Lead within the service to ensure work processes are linked together so the service runs efficiently. To be responsible for the administration support required for the district nursing teams within South Tyneside and Sunderland, including carrying out and coordinating all administration tasks within the admin team. Take responsibility for managing the Clinical Administrators/Call Handler staff, maintaining cover, carrying out staff performance reviews, ensuring training and development for the staff they are responsible for is up to date. To ensure that data records on the clinical systems (Emis) are done to a high standard and updated in real-time. To support the Clinical Team in MDT meetings including the updating and coordinating of information in a timely manner, highlighting any potential delays in the patients' pathway. To provide administrative / call handler support to the teams over 7 days per week between the hours of 8 am and 8 pm. To provide an administrative service to the teams within South Tyneside and Sunderland supporting the delivery of an efficient and effective service to patients, service users and colleagues. Ensure accurate and timely inputting and updating of patient details, appointments, and information into clinical records. To provide an initial point of contact for patients, service users and colleagues accessing the service via telephone calls. To work as part of an integrated team. Person Specification

Skills and Knowledge

Ability to organize and prioritise workload of self and team members where necessary. Excellent communication, interpersonal and organizational skills. Ability to relate to a broad spectrum of individuals and handle queries/enquiries efficiently. Excellent telephone manner. Excellent communication skills, both verbal and written. Excellent working knowledge of Microsoft Office. Working knowledge of EMIS Web. Qualifications

NVQ 3 in Administration or equivalent relevant experience. GCSE Maths and English C or above, or equivalent. Physical Skills

Ability to meet the travel requirements of the role. Ability to work flexibly to the needs of the service. Flexibility to work over seven days a week to support service delivery. Experience

Knowledge of secretarial and administrative procedures and systems, the majority of which are non-routine, acquired through training and experience to Vocational Level 3 or equivalent; plus, knowledge of specialist functional terms, organisational policies and procedures and knowledge and experience to deal with non-routine issues such as problem-solving for an area of work or developing alternative or additional procedures. Proven ability to demonstrate organisational and planning skills with regard to providing an efficient service. Proven ability to provide an efficient administrative service using own initiative. Ability to work effectively and efficiently without close supervision. Experience of managing and supervising staff, including the ability to support new starters to develop their competencies in the Team / induction.
