The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention for details. Responsibilities

EA Support

Coordination of the MD's working day by providing calendar and meeting management support, prioritisation and email management, administration support when in off-site meetings, travel and accommodation, and administrative support in invoice coding and processing as well as processing expense reports and corporate credit card statements. Coordination of the CFO's working day by providing calendar and meeting management support, prioritisation and email management, administration support when in off-site meetings, travel and accommodation, and administrative support in invoice coding and processing as well as processing expense reports and corporate credit card statements. Holiday and absence coverage for the EA to CEO to ensure continuity of support to CEO. Diary Management of Finance meetings including QBRs and Budget meetings. Management of the company's policies and manuals calendar. Management of HAC related policies - risk management, expenses, credit card policies. Manage online and paper filing systems. NDA management. Processing, coding and management of Company invoicing (board, contractors). Logistics organisation of company meetings and events i.e. townhalls, roadshows. Administration of the Company Priorities List, meetings and logistics. Administration support for Directors Meetings, CEO Direct Report Meetings, HVC Meetings. Buzz session organisation and agenda collection. Working with the EA to the CEO in following up on agreed actions from meetings with internal management and maintaining progress updates. Office Management Responsibilities

Serve as the primary point of contact for all internal and external enquiries & visitors. Handle all incoming and outgoing mail, including courier bookings for the company. Proactively manage the office environment to ensure all amenities are fit for purpose including stocking and maintenance of the coffee shop area. Check that data protection laws are being adhered to in relation to the storage of office data, and review and update policies in conjunction with the DPO. Coordinate any requested meeting room request to including room bookings, catering, and equipment rentals. Relationship management with the landlord regarding upkeep of the Support Centre facilities. Relationship management of Support Centre suppliers to ensure all required orders such as stationery, drinks, snacks are effectively managed to the budget. Processing, coding and management of Support Centre invoices. Support employees on any Support Centre queries or issues including risk assessments as required. Arrange regular testing for electrical equipment and H&S equipment. Support Centre security, responsibility for issuing and controlling of employee access cards and monitoring visitors. Management of meeting room booking system. Booking of any required Travel and accommodation for visitors. Required Skills and Competencies
