Assured Aviation, a leading provider of aviation services, is looking for a motivated Administrator / Planner to join our team. Based at London Gatwick, we work with an extensive client base, including airlines and suppliers across the aviation sector, operating at multiple UK airports.

Role Overview We are seeking a detail-oriented individual with proven administrative experience and strong organizational skills to plan daily and nightly operational tasks requested by our customers. This is a dynamic role that combines administrative duties with planning responsibilities, ensuring smooth coordination between our customers and operational teams.

Key Responsibilities Administration: Prepare agendas and documentation for meetings, distribute to attendees, and minute meetings as required. Compile and submit monthly reports to the management team for their approval. Manage office tasks such as filing, photocopying, ordering supplies, and archiving documents. Implement and maintain efficient digital filing systems. Organize meetings, manage bookings, as per management requests and ensure facility requirements are met. Support corporate and social initiatives.

Team Support: Update time and attendance records for the Operations Management Team. Handle telephone calls and field general inquiries. Coordinate internal and external visits, ensuring seamless execution. Provide ad-hoc support to the operations leadership team.

Financial Responsibilities: Assist with sales reporting data and invoices company procedures. Raise purchase requisitions and orders using our in-house system and liaise with suppliers on queries.

Planning: Liaise with customers via email and telephone to plan job requests. Communicate job details to shift team leaders and ensure all associated paperwork is accurately processed.

Communication: Act as a communication link between corporate and operational teams. Support company initiatives in areas such as wellbeing and employee engagement.

Requirements Essential Skills: Strong proficiency in Microsoft Office Suite. High standard of literacy, numeracy, and attention to detail. Ability to multitask and prioritize in a fast-paced environment.

Desirable Skills: Experience with internal communication and creating engaging content for noticeboards and newsletters. Ability to build relationships and communicate effectively at all levels.

Soft Skills: Flexible and adaptable in a busy work environment. Positive, people-focused attitude with excellent organizational skills.
