Herefordshire and Worcestershire Health and Care NHS Trust An exciting opportunity has arisen for an enthusiastic and conscientious administrator to join and enhance our Specialist Pathways team, providing outstanding care for patients across Worcestershire.

As a Special Care Pathway Administrator working full time (37.5 hours per week) across 5 days, you will be providing general administrative support working within a team with specific focus on Adoption and Umbrella - a pathway for children and young people requiring assessment, diagnosis and support for ASD.

A willingness to learn and expand your skills will be positively encouraged, and we will provide you with resources to develop and progress a long-term career. The position is based in our office in Covercroft, which also has parking available on site.

We are looking for someone who is passionate about service delivery and wants to make a difference to work alongside an already established small and friendly team. You will mirror our Trust values of being Courageous, Responsive, and Supportive.

Main duties of the job The successful candidate will need to have administrative experience, preferably having worked within a small team but be self-motivated with the ability to use their own initiative, be able to demonstrate an empathetic approach with the ability to stay calm, focused, and work professionally within a fast-paced environment.

It is essential that the candidate is proficient in IT skills including knowledge of the Microsoft Office package along with excellent communication and interpersonal skills. Ideally, you will have experience of using Rio, EMIS, and other healthcare systems.

Due to the confidential nature of the work involved in this role, the successful candidate will need to be accurate, pay attention to detail, and work methodically to provide an efficient and effective administrative support service. Other duties will include telephone and administration support to the department, general office duties, and maintenance of confidential electronic records and filing systems.

Job responsibilities

Undertake administration duties that are specific to the role.

Answer/deal with telephone enquiries in a tactful and professional manner, recording any messages efficiently and passing them to the relevant colleague/team in an appropriate and timely manner.

Undertake general office duties as required, e.g., typing, data input, filing, and scanning/copying in line with Trust Policies and Procedures.

Arrange and confirm appointments.

Manage and prioritise own workload effectively.

Be a flexible and supportive member of the team, providing cover during staff absences or during times when there is high demand for administrative support.

Person Specification Knowledge

Knowledge of a range of administrative/secretarial procedures.

Detailed knowledge of Microsoft Office: Word, Excel, Outlook.

Understanding of the Data Protection Act and NHS Code of Confidentiality.

Knowledge/use of PowerPoint.

Additional Criteria

Willingness to commit to continuing professional development.

Professional manner as a representative of the Trust.

Tact and discretion for dealing with confidential information.

Ability to meet the travel requirements of the role.

Qualifications

Educated to academic Level 3 (e.g., A-Level, NVQ3, OCR/RSA3, City and Guilds 3) in a Business/Administration related subject or Educated to academic Level 2 (e.g., GCSE Grade A-C) with considerable recent NHS administrative experience and will be expected to undertake the relevant level 3 qualification on appointment to post.

I understand that I will be asked to provide original certificates to verify my qualifications at point of offer.

Experience

Recent, relevant Administrative/Secretarial experience (usually demonstrated by a minimum of 2 years experience).

Skills & Abilities

Ability to challenge poor behaviour.

A positive attitude and able to act on feedback.

Ability to praise and be supportive to others.

Ability to communicate clearly and effectively in English in both verbal and written formats.

Intermediate IT skills. These will be tested at interview.

Numerate.

Accuracy and attention to detail.

Good organisational skills.

Able to demonstrate the ability to use initiative effectively.
