The main purpose of the Administrator’s role is to support the Director, Music & Heritage and members of the Music & Heritage Leadership team. This includes diary management, administration of meetings, and other established processes, as well as direct project administration support when needed. The Music & Heritage team at Britten Pears Arts delivers all its performance and creative activities - from the Aldeburgh Festival to our Community and Creative Health Programme. We are looking for a forward-thinking administrator who thrives in a creative environment. You will need strong admin and IT skills; while you do not need to be a music specialist, it will be helpful if you have a love for music and the arts. This role could also be an interesting sideways step into arts administration. Ideally, we'd like the post holder to start in early April to ensure a good handover period with the Office Manager. Experience gained in a similar role or through a volunteer role. Training will be given, but a good understanding of supportive administration is essential, ideally including diary management and co-ordination for another person. Excellent IT skills - proficient with Microsoft Office 365, including SharePoint and TEAMS. Excellent organisational skills - able to prioritise multiple tasks appropriately. High standard of verbal & written English. Good interpersonal skills, including the ability to communicate with a wide range of people. Excellent attention to detail. Ability to work under pressure and adhere to strict deadlines, while coordinating others to deliver on time. Ability to work independently, managing time and prioritising work. Able to learn and apply new programmes quickly and easily as required. Problem-solving skills. High degree of integrity, including the ability to maintain confidentiality as necessary. Direct support to the Director, Music & Heritage. Diary management and administrative support for the Head of Artist Development and Artistic Administration and other members of the Music & Heritage Leadership team. Keep policies and procedures tracked and updated. Support music programme teams with compliance matters. Lead on the scheduling of Workshop Assistants and recruitment of new Workshop Assistants together with the Programme Manager. Provide Artifax support to Music & Heritage colleagues. Oversee systems that apply to both the Hoffmann and the Concert Hall building offices. Proactively work on improving systems that relate to both office buildings, communicating well with members of other teams (Marketing & Comms, Development, Finance, Leadership Team). Work on transport systems & schedules for the Aldeburgh Festival together with the Programmes Assistant in the Artistic Administration team.
