We are looking for an enthusiastic, flexible, and hard-working Administrator to join our dynamic and friendly team in the Buckinghamshire Wheelchair Service. We are looking for someone with excellent communication and secretarial skills, as well as being proficient in all MS Office applications including experience with Rio or other databases. The post will involve reception duties, including meeting and greeting people and answering the telephone. The work is varied and includes reception duties, inputting to various databases, filing, photocopying and other general office duties. The wheelchair service provides a specialist service in the Buckinghamshire locality to adults and children with long term mobility problems through the assessment, provision, and maintenance of equipment for specialist seating, mobility, and pressure care. The service is provided by registered Occupational Therapists, who have recognised qualifications and experience in postural assessment and provision of wheelchairs for adults and children. The service is supported by trained engineers, technicians, volunteers, and administrators. Main duties of the job

Provide high-quality administrative support, including managing correspondence, emails, and appointment bookings. Maintain patient records, ensuring confidentiality and accuracy in line with NHS policies. Liaise with healthcare professionals, patients, and families to coordinate and manage clinical schedules. Handle patient queries professionally and sensitively, demonstrating excellent communication skills. Prepare documents, reports, and meeting minutes, supporting the team with all administrative needs. Maintain databases and patient management systems, ensuring timely updates and data accuracy. Work collaboratively with the multidisciplinary Team to support innovative services and improved patient care. About us

Good standard of education at GCSE or equivalent level. Educated to NVQ 3 Level in a relevant subject or equivalent level of qualification or significant equivalent previous proven experience EXPERIENCE eg Breadth of occupational experience

Significant administrative/secretarial experience including initiating and maintaining office systems. Administrative experience within the N.H.S. Experience of identifying areas of improvement within the administration of the service and being pro-active in developing new ways of working across the whole department. SKILLS, ABILITIES & KNOWLEDGE

Ability to work without supervision. Able to work on own initiative, prioritising own and workloads to changing and often tight deadlines. Knowledge of IT systems and software programmes such as Outlook, Word, Excel and PowerPoint. Excellent organisational and communication skills, verbal and written. Ability to work within a team under pressure in a busy working environment and able to multi-task. Able to effectively take minutes to support meetings within the service. Good communication and interpersonal skills. Able to build effective working relationships. Positive and flexible approach to work with a commitment to continuing professional development. Self-motivated with a creative and imaginative approach. Ability to communicate effectively with clients and families including those with communication difficulties and difficult personal circumstances. Knowledge of Medical Terminology.
