Location: Birmingham | Carlisle l Chester l Exeter l Leeds l London. The role will be linked to one or more of the regional offices with remote working for part of the week.

The purpose of this role is to ensure that all financial planners and support staff can operate across all the necessary systems, platforms and tools to enable them to provide and support our advice to clients. This entails the set up and management across all applications required to support our advisory service, as well as active management of the completeness and accuracy of QCFP's data.
You will be working with a variety of colleagues across QCFP - both front office teams as well as wider delivery and project teams. You will also work with product providers, our CRM provider (Xplan) and other third parties to ensure key functionality and applications remains operational.
Key to this role is ensuring the business is kept safe from regulatory failures or data breaches. The role will ensure that a risk and compliance framework around data management is continually observed.
This role is part of QCFPs Service Delivery Team.
Responsibilities
Platform & provider relationship and management
- You will work with Quilter Cheviot's (QC) third party team to set up new provider accounts, ensuring necessary due diligence is recorded, where appropriate.
- Maintain an inventory of providers, including the access protocols and processes that are relevant for company.
- You will be the first point of contact for external providers, holding authority to manage access and permissions for QCFP staff with providers.
- Where required, you will be responsible for requesting and management of Director signatures for provider-related access management changes.
- Complete regular provider maintenance to ensure appropriate viewing permissions varying from segregated to global access are appropriately applied across all QCFP roles.
- Ensure any QCFP hierarchy-led structure changes are communicated to providers and actioned appropriately.
- Trouble shoot any lapses in provider valuation feeds and communicate to stakeholders internally of any issues and their resolution.
Onboarding
- Work closely with the Training & Competency team across the end-to-end onboarding journey to ensure adviser experience is smooth from appointment to operational enablement. Ensure there is clear and structured engagement with financial planners in onboarding process.
- Support new QCFP joiners to ensure they have relevant access across all our core systems (Xplan, Extranet, key advice tools) enabling them to start their role as quickly as possible.
- Request necessary Protection, Investment and Pension provider codes to enable a new financial planner to carry out the relevant business types.
- Ensure financial planners are set up with any appropriate panel providers with any special terms aligned to their user profile.
- Ensure all relevant agency codes are linked between Xplan and Commpay to ensure fee payments are processed appropriately.
- Ensure financial planners are set up correctly with external providers to enable auto valuations in Xplan for their respective client's.
- Ensure financial planners have access credentials for all secondary advice process tools (Assureweb, Voyant, Lifequote etc).
- Assist with queries from QCFP staff in relation to provider access, availability of auto-valuations, etc.
- Support adviser maintenance processes to ensure that any adviser changes are reflected across core systems and tools - i.e. name changes.
- Ensure all steps are taken to align client and / or office (POD) reallocations - including validation of office hierarchy structures across all relevant systems, contract enquiry updates to providers and relinking of agencies within Commpay.
- Complete appropriate actions to aid deletion of clients from XPLAN as required, performing appropriate removal of records related to client duplication and prospect removals in line with the GDPR requirements.
- Your XPLAN access level will allow you to conduct key, restricted back-office functions.
- Work closely with XPLAN support to manage valuation feed errors and resolve quickly.
- Support the wider staff and financial planner leaver process to ensure all relevant systems access is revoked across all core systems (Xplan, Extranet, key advice tools) as soon as their employment comes to an end.
- Ensure licence distribution for all secondary advice process tools is maintained post an adviser or support team member leaving.
- Demonstrate a clear understanding of how Xplan data is used, updated and any errors corrected.
- Support data improvement opportunities, collaborating with others across the business.
- Undertake analysis to support any data cleanse initiatives as required.
- Assist with investigations to resolve data and/or structure issues/queries.
- Roll out data improvement initiatives and best practise, as required.
- Escalate any data or access issues or risks as soon as any are presented.
- Create the necessary documentation and support materials needed to manage company data effectively.
- Participate in data-related projects including analysis and testing.
- Undertake any work required to support any risk management actions.
- Coach and train others to put data quality at the heart of their work.
- Build and maintain mutually beneficial, trust-based relationships with key internal stakeholders - in particular IT, QCFPs regional teams, wider HR and supervisory teams, third party management and wider project teams across QC.
- Build effective relationships with third parties such as Xplan and other product providers.
We are looking for a candidate who has the following.
- You will have extensive organisational skills, be able to undertake detailed analysis, especially when doing complex task within the back-office systems.
- You will have significant experience in adviser back-office systems, including Xplan and a good knowledge of other adviser tools. You will have at least a basic understanding of what giving advice looks like.
- You will be proficient in Excel and / or other database applications, and you will be confident handling, analysing and manipulating large volumes of data, in readiness to present finding to key stakeholders as required.
- You will have had experience working with providers, acting as a liaison, ensuring clear communication with stakeholders at all stages.
- You will have held senior access levels to back-office systems previously and demonstrate adept risk awareness.
- Be curious and proactive in problem solving and know how to be resourceful.
- You will communicate clearly and translate complex topics and logic into simple and understandable steps for others.
- You must be able to multi-task and meet tight deadlines, whilst still having a positive attitude to build strong relationships with both internal and external stakeholders.
- Lastly, working well in a team is important, but the ability to work individually and manage your own workload will also be required as part of the role.
