The Audio Visual (“AV”) Specialist is tasked with setting up, operating, and maintaining AV equipment for various events such as conferences and meetings. This role ensures the smooth and efficient functioning of all AV systems, providing technical support, troubleshooting, and high-level client service as needed. Responsibilities also include ordering supplies and scheduling vendor support for maintenance and repairs. The AV Specialist oversees the overall service delivery, managing daily meetings and special events. They run reports, set and evaluate standards, and measure the AV service’s performance, collaborating with the AV Services Manager. These reports are regularly submitted to the IT Director of Europe and Asia, and the Director of User Experience. Additionally, the AV Specialist develops and implements firm-wide projects, coordinating with other departments and vendors. They also lead AV responsibilities for UK and EU retreats, town halls, and high-profile events, ensuring successful staffing and execution. What You Will Do: Set up, operate, and maintain AV equipment such as projectors, microphones, video monitors, and sound systems. Provide on-site technical support during events, ensuring all AV equipment operates correctly. Troubleshoot and resolve AV equipment issues promptly to minimise downtime. Collaborate with event organisers to understand AV requirements and ensure all needs are met. Conduct regular maintenance and testing of AV equipment to ensure optimal performance. Train staff and users on the proper use of AV equipment. Maintain an inventory of AV equipment and manage equipment loans and returns. Stay updated with the latest AV technology trends and recommend upgrades or new equipment as needed. Monitor live meetings on video bridge for connection quality and performance. Schedule all AV vendor preventative maintenance and break/fix repair work. Monitor firm ticketing system and emails for meeting support requests and alerts. Coordinate with vendors for the maintenance and repair of equipment based on feedback provided from IT support staff. Track assets and assess inventory of equipment making recommendations for replacements, upgrades, and ordering of supplies as needed. Analyse, diagnose and resolve problems and coordinate the conversion and digitisation of the data. Contribute to the project submission and budgeting process through collaboration with the AV Manager & IT Director, Europe and Asia. Assist with project build outs requiring complete build out of new rooms and room systems. Act as a liaison between AV Support and other teams within IT, ensuring efficient ticket escalation and enhancing tools to share knowledge and improve processes. Execute major customer satisfaction management (CSM) efforts within the A/V Service with the guidance of the AV Services Manager & IT Director, Europe and Asia. Maintain and update audio teleconferencing, video, presentation, and other AV hardware, coordinating vendor service support when needed. Serve as the main contact with IT Infrastructure and Engineering team and/or vendors to perform occasional hands-on IT infrastructure hardware installation and software troubleshooting. Who You Are: 5 years AV experience with emphasis on presentations, videoconferencing, and meeting services within a corporate or professional services environment. CTS certification is a plus. Bachelor’s Degree in Information Technology or related field experience. Experience in design and implementation of integrated AV systems. Strong interpersonal and communication skills. Familiarity with network device configurations and IP protocols. Exceptional planning, prioritisation, and organisational skills. Strong problem-solving and troubleshooting abilities. High level of customer service within a fast-paced environment. Effective communication skills at various levels of the organisation. Experience with Microsoft Office products (e.g. Word, Excel and PowerPoint). Ability to effectively interact with end users to assist, educate and correct towards the appropriate use of equipment. Strong service management principles applied to AV services. Ability to adapt to emerging AV technologies, such as AI-powered tools. Familiarity with Digital Signage is a plus. Ability to read AV CAD drawings and signal flows. Please note there will be occasional travel to firm and non-firm locations in support of AV responsibilities.
