Our client is an international architecture practice that focuses on sustainability and creating a sense of community in their work are currently looking for a Bids Coordinator to join their team in their Oxford office. They are looking for someone to join their small bids team who comes from an architectural/design/construction background, supporting the team to achieve successful outcomes for each allocated tender and working with the sector directors directly. The ideal candidate will be someone who can follow established processes and ensure there is a coherent bid strategy.


The Role

  • To work within the bid team to contribute towards successful tender outcomes.
  • To develop and continually evaluate winning strategies, directing resources to enhance bid success.
  • Taking the lead on bids and proposals to ensure the best chance of winning work.
  • To ensure resources for quality submissions are in place, and timescales are met.
  • To manage bids, ensuring that submissions are of a high and consistent standard.
  • To organise and oversee all necessary bid-related meetings throughout the tender process.
  • Overseeing the tender program, ensuring adherence to company procedures.
  • To assign and drive completion of action items arising from meetings.
  • Maintaining lines of communication with joint venture partners.
  • Managing and reviewing the quality submission process.
  • To obtain and share tender feedback and lessons learned to the bid team.
  • To support the marketing manager with general comms and marketing tasks, including event planning and awards, updating Open Asset, and general marketing admin.
  • To organise and arrange project photo and video shoots with external photographers.


The Candidate

  • To have previous proven experience working as a Bid Coordinator within the architecture/design/construction industry.
  • T have strong organisational and communication skills with the ability to manage a diverse workload
  • Excellent IT skills, with experience of Adobe Creative Cloud and Open Asset desirable.
  • Strong copywriting skills with good attention to detail.
