Posting Date: 13 Jan 2025 City: Southampton Location: Southampton, GB, SO14 0TB Contract Type: Permanent Division: North Europe Marine Level of experience: Junior RINA is seeking a Business Support Administrator to join our growing team within our Marine division, supporting a small, though established team of Marine surveyors, auditors and certification specialists. Your primary function is to provide high quality support services to the team and to its external clients, which include ship builders, dock yards and ship owners across a range of domains such as passenger ships, cargo, and yachts. You will also be accountable for managing the office, coordinating everything including HSE, office supplies and other office administrative duties. In this fast-paced environment, with a high volume of tasks, you will be required to manage the ever changing pressures, which continuously arise in this niche professional services sector. This role will be based in our Southampton office. We operate a hybrid working environment, providing dual office based and home working. Responsibilities: Act as point of contact for internal and external clients and suppliers, providing general support; Manage information: answer and direct phone calls, organise and schedule appointments, write and distribute emails; Prepare and issue proposals, purchase orders and invoices; Keep track of process deadlines and identify missing documentation; Manage documentation: develop and maintain a filing system to register incoming and outgoing documents; sort, check and distribute when required; Support budget expectations, using internal tools; Liaise with other Business Support Administrators located in other UK RINA offices. Knowledge, Skills and Abilities Required: At least 1 year’s experience in a business support or office management role; Experience of working in a professional services environment is preferable, but not a pre-requisite; Marine knowledge is not a requirement, but advantageous; Competent MS Office Suite user (Word, Excel) and other office technologies such as printers; An excellent communicator, both verbally and written; Strong organisational skills; ability to multi-task; Strong time management skills; ability to prioritise; Ability to follow established corporate systems and processes; A strong team player; maintain cooperative working relationships; Must have right to work status in UK.
