We are looking for a Band 2 Administrative Assistant to provide a reception service and administrative support to the Community Mental Health Team at Chorley Health Centre. The post holder will provide a comprehensive Reception/secretarial service to the Adult Chorley Community Mental Health Teams, coordinating their activities with other members of the Administration Teams in the network to ensure an efficient and confidential service is provided. The role is challenging; however, you will be able to make a difference to service users who are in crisis or are receiving ongoing support from the trust. The ability to work under pressure with limited supervision must be demonstrated as the role is very demanding. A strong, proven background of customer service roles is a must, as you are the first point of contact to our service users and their support networks. The successful applicant will require a flexible approach and the ability to work within a busy environment. They will also be expected to use their own initiative and work unsupervised to ensure the effective coordination of duties. Main duties of the job

Be the first point of contact for the unit/department, greeting visitors and ensuring people sign in and are met by staff or directed to the right area as appropriate. Answer telephones, taking and forwarding messages, ensuring that all telephone and personal callers receive a prompt, courteous, non-judgmental, and well-informed response. Respond to queries, dealing with routine matters and passing more complex queries to the appropriate member of staff. Receive, allocate, and despatch departmental mail (internal and external). Provide an administrative service to include typing of routine information such as reports, minutes, and other correspondence on behalf of the manager and other members of the team, ensuring a high standard in accordance with Trust standards. Assist in running an efficient appointment system, dealing with routine referrals, sending patient letters/information, text reminders, and distributing to the appropriate clinical team. Communicate with GPs and other Health Professionals regarding patients who have accessed the service, e.g., confirming receipt of referral, clarifying referral details, chasing biochemistry results or other diagnostics, and informing on waiting times or onward referrals. Work collaboratively with the appropriate management teams and other departments including clinicians to ensure that all appropriate leads are notified in case of matters of urgency and dealt with in a timely manner. Attend and participate in team meetings and administrative service meetings as required as part of the smooth running of the service. Demonstrate the role to new or less experienced staff. Education/ Qualification

Administrative qualification at NVQ Level 2/RSA 2 OCR Level 1 or 2 or equivalent experience. Knowledge

Working with databases. Working with Microsoft Office applications. Working with NHS data systems such as iPM, eCPA, RiO. Experience

Working in an office environment. Working with members of the public. Working in the NHS. Working in a customer services environment. Personal

Ability to communicate effectively both written & verbal. Ability to input data and retrieval of data. Good grammar and numeracy skills. Other
