SCOPE OF RESPONSIBILITY: The Fleet Administrator provides support to the Compliance team, delivering excellent customer service. This role is part of the Compliance team and involves fleet booking and all general service bookings. PURPOSE OF THE POSITION: Support all administration requirements within the Compliance Team, liaising and working alongside Suppliers and Customers, dealing with daily reports and supporting the Compliance Department. ESSENTIAL JOB FUNCTIONS: Ensure that all queries and tasks are dealt with efficiently and professionally. Support colleagues daily at a highly professional level. Maintain all in-house Excel spreadsheets - Planners. Prepare and summarize daily reports. Analyze data. Process and report on traffic infringements and fines. Meet KPI’s. Provide daily VOR Reporting. Ensure fleet is 100% safe and legal in line with the contract and KPI’s. Support the management of Service/MOT Planners with accurate data input. Assist with audits. Manage V5’s and RFL processes for the Fleet. Timely process Service documentation to ensure a smooth invoicing process and compliance with KPI. Support the Compliance Team Leader with daily tasks and expectations. Book the required number of services per day as per set objectives. Escalate any issues to the team leader. Ensure the correct booking process is always followed. BASIC QUALIFICATIONS: Education: Functional skills in Math and English. Educated to GCSE or equivalent (Grade B or above). Experience: Administrative Experience – essential. Mechanical background – desirable. Knowledge and Skills: Knowledge of the transport/automotive/refrigeration Industry – desirable but not essential as training will be provided. Database management. Knowledge of Kerridge/R2C – desirable. IT literate (Microsoft Office/strong Excel knowledge – Advanced level). Strong written and verbal communication skills to provide a professional approach to both external and internal contacts. Ability to meet deadlines, task-oriented and prioritization skills. Methodical and systematic approach. Excellent front-line customer handling skills and relationship building. Strong attention to detail – essential.
