Base Carlisle or Whitehaven - to be discussed at interview This is a key role in supporting the Compliance team with the administrative duties in relation to compliance activities across the Trust. Key tasks will be to provide secretarial and administrative support to the Compliance team which includes arranging meetings, organising and planning assessment visits to services. The Compliance Administrator should be highly organised and able to multitask with ease with other main tasks including the day-to-day management of the compliance central email and team diary management. Main duties of the job

Manage the generic compliance email accounts, review the contents, providing responses where appropriate and escalate any other urgent matters to the relevant member of the compliance team. Support all members of the compliance team with diary management and administration support. Maintain and develop monitoring, bring forward systems and comprehensive database of information. Ensure that necessary records and documents are located and available for meetings. The post holder will be required to maintain constructive relationships with a broad range of stakeholders. Maintain the compliance team intranet page. Oversee the Trust's external agency visits register. Be responsible for the coordination of compliance meetings as required by the team, including inspection preparation, leading the administration for these meetings including taking high-level, accurate and comprehensive minutes, agreeing agendas with the Chair. Maintain the schedule for 15 Steps / QCare assessment programme / peer reviews and any other compliance supported assurance processes including liaising with appropriate team members to participate in the assessments. Organise rooms for the 15 Steps / QCare assessment and collate required information for each area being assessed. Format and finalise 15 Steps / QCare assessment reports to share with the assessment team. Maintain a schedule reminder system and guidance of follow-up process for individual teams to present their improvements. About us

Qualifications

GCSE English language minimum C grade or equivalent. NVQ 3 in Business Admin or equivalent. Recognised qualification in IT - Advanced ECDL, CLAIT or equivalent. Experience

Previous experience of organising meetings and minute taking. Diary management experience. Able to demonstrate previous office experience. Previous experience from working in the NHS or similar organisation as an administrator. Knowledge

Microsoft Office Word, Excel and Outlook. Requirements of the Data Protection Act. Health and Safety and their application in the workplace. Knowledge of CQC fundamental standards. Understanding of quality improvement methodologies. Ulysses Safeguarding system. Skills and Aptitudes

Able to work methodically with accuracy, ensuring attention to detail. Ability to use initiative appropriately within a team environment. Ability to process complex and sensitive correspondence appropriately. Ability to organise and prioritise workload adhering to deadlines. Good communication and interpersonal skills. Personal Circumstances

Flexible approach to working hours. Able to travel between Trust sites. Other requirements
