Position Overview: The Executive Assistant to the CEO will also support the Board of Directors. The Executive Assistant is expected to act as Corporate Secretary to the CEO, preparing all Board agendas and materials necessary for in-person Board meetings and Board calls; taking meeting minutes, distributing and publishing them as appropriate, while safeguarding the confidential nature of the discussions and information shared in the meetings; and filing any necessary information with the corresponding corporate entities. Essential Duties and Responsibilities: Create meeting timelines, prepare and distribute meeting notifications, correspondence, agendas, and materials, as well as subsequent updates or changes. Attend meetings and record and file minutes. Establish excellent working relationships with the CEO and Members of the Board of Directors in verbal, written, and electronic correspondence. Create mailings, presentations, and reports for the Chair and other materials for the board members. Schedule appointments and maintain the Chairman's travel calendar. Prepare and edit correspondence. Make travel arrangements. Coordinate with regional teams to manage board travel activities. Provide excellent record-keeping and administrative skills. Organize and execute all meetings and company events while proactively managing them 3 months in advance. Manage the process for all Board meetings, including allocating additional resources. Record all meeting minutes, distribute minutes for approval, and post the minutes for Member view. Be an active partner in Board social events while maintaining a silent role during Board meetings. Build and cultivate relationships with stakeholders for the Chairman and the Board of Directors. Provide administrative support for the CEO and Boards of Directors as required. Support personal arrangements as needed due to the family-owned nature of the business. Minimum Requirements: The ideal candidate will be an experienced Executive Assistant and must: Have the ability to work under extreme pressure and meet deadlines. Understand project management. Be flexible in working hours. Exhibit a professional and friendly demeanor. Possess a confident and outgoing personality. Have thorough attention to detail. Be self-motivated. Have strong knowledge of all clerical activities. Maintain strict confidentiality at all times. Hold a full UK Drivers License.
