The Gastroenterology and Screening Directorate are looking for a Deputy Patient Access Manager to assist in delivering a high quality, effective and flexible administrative service supporting the current Patient Access Manager. Posts in the Trust are subject to the Rehabilitation of Offenders Act (Exceptions Order) 1975 and as such it will be necessary for a submission for Disclosure to be made to the Criminal Records Bureau to check for any previous criminal spent and unspent convictions, reprimands, and cautions. Appointment to this role will commence at the lowest salary point unless confirmed otherwise by HR Employment Services (Recruitment, Administration & Terms and Conditions). Main duties of the job Working in collaboration with others, key targets for the postholder will be to play an active role meeting key performance targets for the trust and ensuring patients have a smooth pathway through the services. This role is a key member of the Directorate's management team, working towards the achievement of key patient access targets for the Directorate. Work will focus on ensuring the flow of patients into available clinics and theatre slots, dealing with peaks in activity, ensuring the ratio of new and follow up clinic slots is appropriate to meet demand. This role also includes administrative tasks relating to governance support for meetings. To be a conveyor of information between the Directorate and the booking hub in making recommendations on a regular basis to the Directorate Manager and Clinical Leads to enable them to take positive steps to respond to demand and capacity issues in a timely way. This role would be ideal for a highly motivated and experienced administration manager with a track record of analysing complex administration processing problems and successfully implementing solutions within an operational service environment. Effective interpersonal and excellent customer service skills are essential as the post-holder will have to motivate and influence a wide range of multidisciplinary Trust staff within a complex organisation.

Job responsibilities This role is a key member of the Departments management team, working towards the achievement of key patient access targets for the Directorate for a group of designated services. Work will include: Ensuring the flow of patients into available clinics and theatre slots in the setting up accurate templates. Managing outpatient and inpatient waiting lists (both referral to treatment RTT and non RTT patients) on behalf of the Directorate Managers, avoiding backlog through proactive management and opening of clinic and theatre list availability. Dealing with peaks in activity, by supporting the allocation of extra capacity clinics. Supporting the Patient Access Manager in the early identification of capacity issues affecting performance of 18 weeks, 2 week wait and other referral to treatment standards including DM01. Ensuring the ratio of new and follow up clinic slots is appropriate to meet demand. Ensuring patients are booked within breach date. Along with the Patient Access Manager being the main conveyor of information between the Directorate and the booking hub, with an overarching aim to facilitate the smooth management of our patient groups, depending on their waiting times and care pathways. Working closely with the Patient Access Manager, validation team, the relevant booking colleagues and clinicians to ensure all data entries on PAS correctly reflect the patients RTT status data accuracy within their Directorate(s). Working with clinical teams to ensure they fully understand the requirements of the Patient Access Policy, ensuring adherence across their areas of responsibility. Providing a point of contact for patients, relatives and GPs who remain with queries and questions that cannot be resolved by our booking teams. Escalating complaints to the Patient Access Manager where resolutions cannot be delivered. Providing information to support the Patient Access Manager which enables recommendations to be made on a regular basis to the Directorate Manager and Clinical Leads to enable them to take positive steps to respond to demand and capacity issues in a timely way. To provide cover to support the Patient Access Manager in the daily management of local non-centralised administration staff. To collect data, where required, to support the delivery of statistical reports by the Patient Access Manager. To work with the Patient Access Manager in developing, supporting, improving amending and undertaking rota administration and co-ordination for the Directorate. The post holder will be accountable for all day to day issues relating to patient access management, for the designated services on behalf of the Directorate.

Person Specification Essential Degree/Diploma in Business Administration or equivalent experience. Significant experience of working in the NHS in administrative or clerical roles in a management capacity. Knowledge of the national and local policies and targets relating to patient access, waiting times, booking and choice. Ability to maintain composure during times of extreme pressure.
