Job overview

An opportunity has arisen in the established Retinal Screening Programme for an experienced administrator. You should possess excellent communication skills and have the ability to deal with a high volume of telephone calls from members of the public. Therefore, the ability to remain calm under pressure is essential. You will also have a good standard of education and excellent keyboard skills and be an effective team player. Hours to cover telephone line: 8am - 6pm, Monday - Friday on a rotational basis. Main duties of the job

To answer the Diabetic Eye Screening appointment line, dealing with patient queries and making suitable appointments at appropriate venues for the patients. This includes re-arranging appointments at the request of patients, cancelling appointments due to service pressures and giving accurate and appropriate guidance to patients regarding the screening process. To be responsible for answering any voice messages and emails in a timely manner. To be responsible for organising appointments for patients requiring eye screening and to liaise with GP Surgeries to ensure all eligible patients are screened. Undertake general office duties to contribute to the smooth and efficient running of the Bedfordshire Diabetic Eye Screening Programme (BDESP). Working for our organisation

Main responsibilities: To answer the Diabetic Eye Screening appointment line, dealing with patient queries and making suitable appointments at appropriate venues for the patients. This includes re-arranging appointments at the request of patients, cancelling appointments due to service pressures and giving accurate and appropriate guidance to patients regarding the screening process. To be responsible for answering any voice messages and emails in a timely manner. To validate patients' information following the exclusion criteria, making sure that all necessary paperwork is signed and filed in the appropriate place. To undertake checks to ensure all newly diagnosed patients are invited for screening within three months of the service being notified. To use the NHS Portal Spine to check the integrity of patients’ data and update the software as necessary. To liaise with Screeners, informing Screeners of cancellations and drop-ins. To work with a degree of flexibility within reason to cover for sickness and holidays as necessary. Person specification

Qualifications

Good GCSE (or equivalent) English Language and Maths (Grade C or above) RSA 2 or equivalent keyboard skills Experience

Administration / clerical experience in customer care roles Experience of data entry Experience of dealing with enquiries from members of the public Knowledge of Retinal Screening Use of Hospital PiMS Knowledge

Excellent interpersonal communication skills, both written and verbal Excellent telephone manner Excellent organisational and time management skills Ability to prioritise tasks All new staff will be subject to a probationary period covering their first six months in post.
